Permanent position, 36.5 hours per week.

This busy and varied role supports the undergraduate programmes within the department of Psychology. It is responsible for providing consistent and high-quality administrative support for courses and undergraduate students within the department.

This will involve acting as the first point of contact for both students and staff, and working closely with other key staff members, including those from departments across the university and central university teams.


The post holder will support students throughout the student life cycle, from supporting welcome week and other introductory student events, to preparing for the relevant exam boards.

The post holder will be responsible for maintaining accurate records and up to date information on courses and processes.

As part of a small team of administrators, this is an opportunity to really get involved with the department.

JOB PURPOSE


The post holder will support students throughout the student life cycle, from managing the admissions process for the relevant courses, working with course directors and the central admissions to process and advising applicants to preparing the for the final exam boards.

The post holder will be responsible for maintaining accurate records and up to date information on courses and processes.


DUTIES & RESPONSIBILITIES

Admissions

  • Provide a point of contact for prospective undergraduate students, in liaison with the Admissions tutors.
  • Assist in the support of the departmental open and offer holder days as required.
  • Assist in the support the departmental welcome week arrangements as necessary.

Student and programme administration

  • Maintain accurate and up to date student data in the relevant student databases and systems, in line with University information security policies and Data Protection legislation.
  • Manage programme and modulerelated issues including student queries, online submissions, dissemination of marking and information to and supporting academic teaching staff.
  • Act as the primary contact for any undergraduate student queries, providing advice and instruction as needed in liaison with the Teaching & Learning Manager, course directors, Admissions Tutors and Director of Undergraduate Studies.
  • Liaise with staff across the University involved in undergraduate affairs, including but not limited to, the Academic Office, the International Office, Student Finance, the Library and other academic departments.
  • Liaise with internal and external staff regarding interdepartmental or collaborative programmes.
  • Liaise with the relevant course and module leaders to maintain accurate and up to date programme information.

Assessment and Exam boards

  • Administration of any assessments and examinations required for the programmes. This can also include the support required for students with reasonable adjustments.
  • Responsible for ensuring accurate and timely marks entry and results communication in line with university timelines.
  • Responsible for administration of relevant exam boards, preparation of paperwork, liaising with internal and external examiners and other university teams, taking minutes, managing queries and any other organisational requirements.
  • Communicating results to students in a timely and professional manner and setting up necessary resit assessments
  • With the support of the Programmes Coordinator and Teaching & Learning manager, and relevant exam secretaries, acting as a point of reference for queries on university process and regulation.

Monitoring & Attendance

  • With the support of the Programmes Coordinator and Teaching & Learning manager, creating the monitoring schemes for the relevant programmes in line with university policy
  • Responsible for maintaining up to date and accurate student monitoring, supporting academic staff and disseminating information and instructions as required.

Other

  • Act as Committee Secretary for relevant Committees, preparing agendas, taking minutes, liaising with the appropriate committee chair, and carrying out and followingup on actions arising from meetings.
  • Support for any undergraduate events through the year, providing any support for the event as required.
  • Monitoring and maintain information on programme related matters, providing data for any reports as required.
  • Assist in content management for web pages in conjunction with relevant university and departmental staff.
  • Work with the Teaching & Learning Manager and other relevant departmental staff in a proactive manner and look to continually improve processes and procedures.
