Poppies Team Leader
PURPOSE
A key member of the management team whose primary responsibility is to ensure that all cleaning work carried out is delivered to the Poppies quality standard and supports staff in maintaining those standards
The Team Leader will work with and support the Manager to ensure the smooth day to day running of the business.
The Team Leader has supervisory responsibilities within the Health and Safety System for ensuring that H&S rules are maintained, communicated and observed.
The jobholder is responsible for ensuring that any new hazards which are identified are communicated to management and any necessary actions, changes, or amendments to the systems, including training are carried out as required.
SUMMARY OF THE JOB ROLE
The role involves ensuring that all regular and one off domestic and commercial work is carried out to the required standard.
The Team Leader will essentially work in the field but will support activities in the Poppies office as and when required.
KEY REQUIREMENTS
- Must be able to clean to an extremely high standard
- To be able to support and develop the competence of staff through training
- Needs a good relationship with staff, able to persuade, encourage and motivate
- Able to empathise both with clients and staff
- A calm problem solver, able to deal with a range of issues encountered by staff
- A pleasant and confident telephone manner
- Able to write legibly, be selfdisciplined, organised and able to plan effectively
- Must be sufficiently numerate to keep neat and accurate records if required
- Have sufficient IT skills, be able to use word, excel and any new systems introduced
- Full UK driving license
PRINCIPAL ACTIVITIES
1 Administration
- Complete relevant paperwork/documents e.g. trainee reports, Quality Control (QC) assessment, worker enquiry forms, inspection forms, mileage forms
- Update customer records as required e.g. updating job sheets, complete section for QCs
- Schedule in all services onto the rota and distribute
- Make appointments for home visits
- Respond to telephone calls in the office as and when needed
2 Records and record keeping
- The Team Leader will complete any paper documentation and electronic records as required for the role.
3 Organisational*- Assist to ensure that staff have the required Personal Protective Equipment, all necessary job details, keys and any cleaning equipment as required, spring clean boxes stocked correctly
- Monitor and develop quality of services
- Provide emergency cover for short notice absence
- Lead/Manage Spring Clean/One off cleaning services
- Conduct QC checks and update relevant documents
- Use reports on excel to identify customers requiring QC checks
- Be responsible for managing staff work trials, training and development
- Identify how jobs can be completed efficiently and effectively
- Ensure van is clean tidy and sufficiently stocked with equipment, fuel etc
- Carry out new inspections as and when required
- Ensure that staff are aware of business rules and current procedures
4 Information
- Notify the Manager immediately of customer complaints, cancellations, insurance claims and staff problems, resignations or changes to availability.
- Notify the Manager of any staff problems or misdemeanours and all other potentially disruptive situations.
- Notify the Manager of any variances from procedures or standards laid down.
5 Conduct any other activities or duties that are commensurate with the role
