An opportunity has arisen for a friendly, flexible and motivated individual to provide reception and administrative duties for the Knowledge Spa and Accommodation Service.


The position is part-time working 18 hours per week, Monday, Wednesday and Friday 9am-3.30pm, however a level of flexibility will be required in order to cover absences and share duties to meet the needs of the service.

To provide a reception service to all users of the Knowledge Spa and Accommodation Service.

To assist in the administration and co-ordination of all meeting/seminar room bookings for the Knowledge Spa.

To assist in the administration and co-ordination of booking overnight accommodation.

To provide efficient administrative support to the Knowledge Spa and Accommodation Facilities Team.

However, main responsibilities are:


To provide support on main reception including processing incoming telephone calls and taking/distributing messages where appropriate and any other associated reception duties which may be required.


To act on own initiative to deal with day to day enquiries from tenants and other users of the Knowledge Spa and RCHT Accommodation.


Advise/direct visitors and students to the Knowledge Spa to their meetings and lectures, and when required give tours of the buildings.


To assist the Admin and Accommodation Supervisor with the administration and co-ordination of all seminar and meeting room bookings for the Knowledge Spa utilising the electronic room booking system, including processing request forms, issuing confirmations and cancellations.


To assist the Admin and Accommodation Supervisor with the administration and co-ordination with the booking of all overnight accommodation utilising the electronic database, including processing requests, issuing confirmations and cancellations and any other associated paperwork.


To assist the Admin and Accommodation Supervisor with the ordering of stationery and equipment for the Knowledge Spa and RCHT Accommodation.


To assist the Admin and Accommodation Supervisor with arranging catering for meetings and events for clients of the Knowledge Spa.


To assist the Admin and Accommodation Supervisor with administration and co-ordination of all income generating events and conferences and to participate in the marketing of the Knowledge Spa facilities to generate income.


To assist the Administration Supervisor in maintaining accurate and up to date financial records including updating spreadsheets, invoicing, and processing payments etc.

To provide general secretarial and administrative assistance to the Knowledge Spa Management team

To produce, maintain and update a contact list for all tenants in the Knowledge Spa.

To provide cover in the absence of Facilities Co-ordinators e.g. delivering mail/parcels, occasional general porter duties as required.


To work as part of a flexible team to cover absences and share duties as required in order to ensure a high quality service is maintained at all times.
