Description
To provide a comprehensive support function to one or more of the Council's major infrastructure programmes. The role will require excellent communication and organisational skills and will involve
liaising at all levels internally as well as externally.
This role will be responsible for providing all the necessary project specific and administrative support to the Programme Manager, enabling them to effectively deliver on time, within budget and
scope.

Managing and coordinating the administrative aspects of the programme, the job holder will have the following key responsibilities:


  • Produce and monitor the overall programme plan to ensure that it is working within programme timescales, and any variations are recorded and reported.
  • Assist in the production of project scope documents and business cases, risk registers, issues logs, lessons learnt reports and other project related documents and proactively escalate concerns to
the Programme Manager and Board.

  • Support with financial monitoring and budget management.
  • Facilitate the delivery of all key meetings including, scheduling and management of attendance, preparing agendas and papers, creating meeting packs for senior colleagues when required, writing
minutes and tracking meeting actions.

  • Keep all project and team folders in the shared area up to date. File any new documents received and thus assisting and maintaining effective and efficient filing structures and systems.
  • Analyse and present information.
  • To arrange external meetings.
  • To facilitate the delivery of all key meetings including, scheduling and management of attendance, preparing agendas and papers, creating meeting packs for senior colleagues when required, writing minutes,
transcribing dictations, tracking meeting actions and setting up IT.

  • To response rapidly to diary changes where required.


The post is located in the Infrastructure and Major Projects Team, which leads the Council expertise on delivery of major projects.

This post will form part of the project team responsible for the delivery of the River
Thames scheme which Surrey County Council are working in partnership with the Environment Agency.

We operate a policy of agile working, which means you will have the option to spend part of your week working from home, though this may flex based on business need.

Whilst based in Quadrant Court in Woking,
the role will require business travel to other offices in Surrey and London for key meetings.

  • Good IT skills.
  • Ability to work with others to improve customer service.
  • Good written and oral communication skills with the ability to build sound relationships with customers to improve customer service.
  • High level administrative/organisational and analytical skills.
  • Able to prioritise and plan own workload in the context of conflicting priorities and work on own initiative.
  • A methodical approach to information gathering, recording and reporting.
