Great Opportunity to join a leading Higher Education University in Manchester.

This post is part of the School's Teaching, Learning and Student Experience Team under the guidance of the Residence Abroad and Placements Coordinators.

The Residence Abroad Administrator will support them and the relevant academic leads in the smooth deliveryof administrative processes associated with international placement activity.

They will also provide support and guidance, throughout the full placement cycle, to all students undertaking a placement.

The post-holder will need to be flexible and adaptablein order to effectively support and contribute to developments and improvements within the School.


Key responsibilities, accountabilities or duties:


You will be expected to show flexibility and adaptability, and a proactive and professional approach is important, as is an ability to establish a good rapport with both staff and students.


  • Provide administrative support for the School Residence Abroad and Placements Coordinator and relevant academic leads;
  • Liaise as necessary with the University's International Programmes Office, for example in the case of an emergency situation abroad;
  • Effectively support students (face to face, over the telephone or in writing) facing particular problems whilst on placement and be able to explore options for supporting them and to provide detailed advice.
  • Able to cope effectively with students who are in distress and to refer students to the relevant sources of student support across the University where necessary, e.g. Student Counselling Service, Student Occupational Health, Disability Advisory and SupportOffice;
  • Update and check of student and programme records;
  • Maintain student records using the My Placement system and Excel, including accurate recording and updating of student placement details;
  • Maintain files and a database of key contacts on partner institutions, language schools and employers to be made available to staff and students, as necessary;
  • Maintain and update the School's Residence Abroad Blackboard site, including details of new work placements, country specific information, staff office hours etc.;
  • Maintain and update areas of the My Placement system, such as partner brochures, programme dates and student experience feedback;
  • Support incoming students on exchanges (Erasmus replacement) and visiting students, including helping them to enrol for classes by passing their requests to the relevant Programme Administrator;
  • Support with the monitoring of arrival checks, progress and wellbeing checks and the international student census;
  • Support with the coordination and organisation of briefing meetings with all outgoing and returning students;
  • Manage the social media presence of the Residence Abroad and Placements Office;

Essential Knowledge, Skills and Experience:

  • Significant secretarial or administrative experience, ideally within a higher education environment;
  • Knowledge of databases, preferably My Placement, Campus Solutions
  • Experience of working cooperatively and flexibly as part of a team in a busy office;
  • Excellent organisational skills, with a high level of accuracy and attention to detail;
  • Excellent IT skills including having extensive knowledge of Microsoft Word, Excel and Outlook
  • Ability to manage a varied workload, priorities tasks and meet strict deadlines;
  • Ability to manage regular office routines and to take initiatives in refining and improving those routines;
  • Excellent communication and interpersonal skills, both written and oral;
  • Ability to deal with confidential information sensitively;
