The Opportunity
This is a permanent, full time role based in our Central London HQ, while providing support to two other sites where needed.
Key responsibilities include:
- Office Management making sure our office space is organised, well stocked with supplies, food, and runs smoothly daytoday; coordinating team lunch, scheduling onsite meetings and managing room bookings; processing mail and handling utilities as well as managing the relationship with the landlord; providing general administrative support to onsite and remote employees.
- Administrative Support coordinating calendars and managing meeting schedules, booking travel, CV filtering and filing.
- Executive Support spending up to 10% of your time working closely to assist the CEO and wider leadership team with personal administrative tasks.
- Business Operations Support supporting across a range of foundational operational tasks, including data entry, documentation, arranging/renewing insurance policies and business trademarks.
- People and IT Administration overseeing employee onboarding, tech equipment distribution, and inventory management.
- Project Support using your initiative to progress projects on behalf of the CEO and VP Operations, providing regular updates and follow up with the team as needed.
- Culture organising office activities and events, as well as creatively helping develop the team culture.
What you'll bring to HeliosX
- Experience supporting a senior leader or senior team in a fastpaced technology company or international firm.
- A selfstarter, who's not afraid to get stuck in with unfamiliar tasks and thrives in a fastpaced environment
- Excellent organisation, communication and stakeholder management skills.
- Exceptional attention to detail.
- Ability to multitask and take ownership over multiple projects and experience navigating an everchanging environment
- Advanced proficiency with Gsuite or similar systems (ideally Excel or Google Sheets).
