Admin/Receptionist
40 hours per week
£12.02 per hour
BURY ST EDMUNDS - FT or PT
*_This job can be part time and shared however please note that _we require at least 2 days_ _on a 8.30am-5pm or 9am-5.30pm_
Overview of the Role
The post will be based in Bury St Edmunds town centre.
You will need to be proficient in Microsoft Office programs and have attention to detail.
You will also need to demonstrate good communication, customer service skills and be willing to work as part of the team.
- Meet FEVACA expectations in interview
- Complete an enhanced DBS check
- Provide evidence of their right to work in the U.K
- Provide satisfactory references for 5 years or more (inc most recent employer).

- Professional, discrete and solid understanding of the importance of confidentially
- Previous experience in a similar role is an advantage but not essential.
Key Responsibilities:
Admin
- Answering and forwarding telephone calls
- Greeting visitors on arrival at Head Office, checking identification and ensuring visitors have signed in / out
- Sorting and distributing post and deliveries in and out along with internal post
- Understanding and supporting with company vehicles booking system
- Keeping the office clean and tidy at all times high attention to detail required
- Printing and photocopying for staff based at Head Office
- Supporting admin with filing / archiving and other admin tasks on request
- Opening and closing of office
- Key holder
- Checking stock levels of stationery and supplies ordering with finance on a weekly basis
- Purchasing small amounts of day to day items like milk and flowers for the office.
- Maintaining hanging baskets and watering of all plants.
- Schedule meetings and arranging calendars when appropriate
- Producing documents, briefing papers, reports and presentations when appropriate
- Ensure regular communication with Line Manager and Directors
Finance:
- Knowledge in Sage bookkeeping software
- Raising and processing sales invoices and ensuring they are completed in a timely fashion.
- Process petty cash payments and arrange for finances to be sent/returned between Fevaca sites.
- Manage and oversee weekly young person allowance, homes and office petty cash
- Processing cash and bank payments
- Reconcile balances.
- Processing cash and bank payments
- Update Ledgers
- Process Sage payroll
HR
- Operate in line with relevant Safer Recruitment legislation
- Organising and attending meetings / disciplinary proceedings when appropriate
- Comply with all relevant employment legislation and FEVACA policy
- Comply with all relevant health and safety legislation, employee rights and responsibilities
- Assistance with general HR administration when appropriate, including of training and personnel issues when appropriate
- Ensure employee electronic filing system (SAGE HR) is fully updated and maintained
- Complete payroll and associated HR duties, use of SAGE HR
- Support with processing time sheets in line with payroll
- Updating pension records.
