Overall Purpose:


The Scientific Administrator will assist with the responsibility of the daily operations of the Mary Lyon Centre at MRC Harwell (MLC) Centralised Administration Office, ensuring that all administrative requests are dealt with promptly and efficiently.

The role will be part of a busy team consisting of five colleagues.

All will provide support to members of the unit including the MLC, the Centre for Macaques (CFM) and the Advance Training Centre, as well as to external customers visiting the sites.


The role requires accurate and efficient communication with staff and visitors at all levels, working in close liaison with the Head of Administration, the site Director and senior management.

There are a variety of duties which make up this interesting position.

The Administration Team needs to be efficient and timely in supporting the staff and visitors within MRC Harwell, to allow them to concentrate on their science and research, rather than on administrative functions.

A timely, value-added service must be provided to ensure that the business requirements are met at all times.


Main Duties/Key Responsibilities:


  • Provide assistance to the Director with time and daily management, scheduling meetings and assisting with correspondence and note taking
  • Provide diary management support for the Director and senior managers
  • Timely minute taking for operational and scientific meetings and coordination of any relevant documentation
  • Write support letters with scientific content, proofreading and editing on behalf of the unit
  • Manage the permit and license database to ensure relevance and compliance

Assist with and coordinate the organisation of events, meetings, webinars and training courses

  • Process expense claims and unit GPC transactions
  • Manage updates for the site intranet
  • Arrange all aspects of travel requirements including flights, trains, accommodation and transportation for internal and external staff travelling both in and outside the UK, dealing with our 'preferred' travel provider
  • Archive materials at the end of the financial year, as and when required to meet GDPR schedules

Working Relationships:


The post will report to the Head of Administration within the MRC Harwell Centralised Administration Team and will provide support to the MLC, the, the Advance Training Centre and any collaborative associates.


Additional Information:


The post-holder will be required to undertake any other projects or ad hoc duties which may result from the above work and to complete additional, reasonable tasks as required within the band of the post.

You may also support the Director and Management within the MRC as required.

Person Specification


Education/Qualifications/Training Required:


  • Essential:_
  • A degree in life science or equivalent experience in a scientific environment
  • Relevant A levels or equivalent
  • Computer literacy and proficiency with Microsoft packages

Previous Work Experience Required:


  • Essential: _
  • Administrative experience
  • Scientific background or previous scientific experience, so that you are familiar with the terminology used
  • Good customerservice skills
  • Desirable: _
  • Experience of working with Oracle
  • Understanding of booking systems
  • Understanding of Home Office legislation and licence requirements

Knowledge and Experience:
