Purpose of Job

Our three clubs are in Greater Leys, North Oxford and Kidlington. As they are in different locations and have their own character. Grants account for almost half of our income. These grants support projects and programmes that are central to the running of our charity.

From a community bus programme to weekly music or art programmes and daily chef produced hot lunches, our grants are play an integral part to supporting people who are living with dementia and their carers.

The Programme Coordinator oversees a range of functions and projects, supporting the CEO and managers that are essential to Daybreak.


The role completes a broad variety of tasks that allow the CEO and managers to effectively and efficiently operate the centres and give accurate reporting to the trustees.

In more detail, the main responsibilities of the Administrator will be as follows:

Management support

  • Assists the CEO in the daytoday management of Daybreak to ensure accurate recordkeeping is kept and maintained, are required by law and constitution.
  • Support managers and CEO, as needed regarding scheduling, payroll, holiday, and sick leave documentation. This includes acting as liaison to agencies.
  • Manages key administrative duties or supports managers in their completion of their administrative duties, to ensure smooth operations and running of Daybreak.
Project management support

  • In close collaboration with the CEO, delivering all the requirements and timelines on current and new grants.
  • Lead on monitoring, evaluation, and learning (MEL) across the charity and with partners for grant projects and programmes.
  • Maintaining workplans and reporting schedule for funders.
  • Assist with mailings and publicity to Daybreak fundraising sources.
  • Maintain accurate records of Daybreak "Friends", donors and contacts to ensure we meet GDPR requirements. Records maintained, but no longer
  • Ensure the invoices and financial database reflect the programmes accurately.
  • Update the Daybreak website and social media pages.
  • Provide other practical support for the delivery of existing and future programmes across Daybreak.
  • Creating and updating project delivery briefs for the trustees and funders.
  • Sending stakeholder letters, newsletters, and other correspondence, as requested
  • This Job Description may be amended from time to time by the CEO and Trustees in consultation with the post holder. _

Skills and abilities

The job holder will be able to show:

  • Excellent organisational skills
  • Attention to detail
  • Good level of literacy and numeracy
  • Excellent communication skills both online, face to face and telephone
  • Able to work on their own and manage a varied workload

Experience

  • Evidence of working in project management in the charity sector
  • Evidence of document management in the charity sector
  • Experience working in a hybrid environment
  • Experience of servicing highlevel Boards and/or management teams

Knowledge

  • A good working knowledge of office IT, particularly in relation to data management and security
  • An understanding of GDPR regulations and their impact on fundraising

Personal attributes and other requirements

  • Willing to work flexibly
  • Empathy for individuals and their families who live with dementia

Salary:
£20,000.00-£25,000.00 per year
