The main focus of the role is to deliver an effective and efficient Reception service at all times to visitors, callers and employees and to consistently promote a professional image of the company.

To continually exceed expectations by providing a first-classvisitor/caller experience and delivering an efficient and effective Reception service at all times, whilst promoting a professional image of the company.


  • To provide a firstclass experience to all Company visitors, through the initial welcome and assistance with completion of the signing in/out process (including Health & Safety information), awareness of relevant Company policies & practices, prompt announcementto host of arrival and help with general enquiries during the visit.
  • To receive and respond to all incoming calls in a timely and professional manner; diverting calls and taking messages where appropriate whilst ensuring accuracy of detail and prompt delivery.
  • To maintain a clean and tidy Reception area which is welcoming for visitors and promotes a positive first impression.
  • To manage the core administrative processes including ordering and stock control of office stationery including yearly ordering of diaries and oneoff stationery requests, establishment and maintenance of filing systems including maintenance of uptodateCorporate Register and the logging in/out of Company pool mobiles etc.
  • To coordinate the ordering of business cards for all Company offices worldwide, ensuring that personal information is up to date i.e. job titles, mobile phone numbers etc and that adequate stocks of business cards are held for daytoday usage and at peaktimes for scheduled exhibitions and shows.
  • To manage efficient postal service processes for both incoming and outgoing mail; ensuring accurate records are kept, post is distributed in a timely manner, the supply of stamps is maintained and the franking machine is kept topped up with sufficient credit.
  • To review, develop and maintain written procedures detailing all core administrative processes and procedural requirements, in accordance with prevailing Quality standards.
  • To ensure a comprehensive handover is delivered to the other Receptionist on a daily basis.
  • To book the Board Room when required.
  • To create LAN/WiFi access for visitors when required.
  • Additional ad hoc tasks administrative support to other departments
  • Fax remittance advice notes and statements to customers regularly. On an adhoc basis sort Purchase Orders.
  • Taxis book upon request and ensure the company pays only when Reception are advised by department
  • Lunches take lunch orders for meetings, understand special dietary requirements and coordinate the booking and delivery of these.
  • Proactively ascertain refreshments required for important meetings (water, etc.)
This is a job share role and as such some flexibility would be desirable but not essential.

To be successful you should have previous front facing office based reception experience, ideally working for a corporate or larger organisation.

You should be PCliterate in Word, Excel and Outlook and have a confident but friendly manner and be happy working for a large engineering/manufacturing company.
