Job Introduction

DACBeachcroft has a great opportunity for an experienced administrator or secretary to join the Commercial Litigation team as a Legal Secretary on a full-time, permanent, hybrid basis in our centrally located London office.


Reporting to the Secretarial Team Leader, the selected candidate will play a key role in a team of secretaries, providing high-quality admin and secretarial support to a group of fee earners at the 'Global London' practice area in our London office.

Main Responsibilities


_Secretarial:_
  • Effective prioritization and ownership of tasks while managing a full workload
  • Proactively assisting with billing, cash collection, and accounts queries, liaising with internal support teams for prompt issue resolution, including handling expenses claims
  • Expertly managing large documents, creating versions, editing, proofreading, and making comparisons to highlight changes, including digital dictation
  • Scheduling client and internal meetings, video/audio conferences, proactively managing diaries, and coordinating activities
  • Creating and editing spreadsheets and PowerPoint presentations, utilizing available technology creatively for maximum professional impact
  • Handling filing, archiving, photocopying, and scanning tasks as needed
  • Updating client contact information in relevant systems consistently
  • Assisting with travel and accommodation bookings following DACB protocols
  • Proactively contributing to ad hoc business development and communications tasks
  • Building and maintaining necessary knowledge for the role
  • Maintaining office cleanliness and organization
  • Ensuring confidentiality following the firm's data security protocols
  • Assisting with paralegal activities such as creating bundles, both hard and soft copies, and managing file transfers

_Administrative:_
  • Completing all file closing/archiving procedures compliantly
  • Handling room and taxi bookings, hand deliveries, courier requests, and other ad hoc tasks
  • Managing printing, copying, and scanning tasks, utilizing Office Services for high-volume jobs
  • Sending large electronic documents via specified platforms
  • Processing incoming post, scanning, saving to files, and distributing to fee earners
  • Assisting with hard copy filing and typing standard letters
  • Uploading and editing documents as necessary
  • Undertaking other ad hoc tasks as directed by the secretarial team
  • Meeting education and IT skills requirements
  • Demonstrate proficiency in Microsoft packages and case management systems
  • Knowledgeable in pdf docs and file-sharing platforms
  • Familiarity with 3E accounts software
  • Strong attention to detail, quality, and accuracy
  • Client-focused and service-oriented with a collaborative mindset
  • Clear and concise communication skills
