We have an exciting opportunity for an Administrative Assistant to join the Kennedy Institute of Rheumatology.

The Kennedy Institute runs a busy programme of seminars, meetings, and special events.

Reporting to the Head of Operations the Administrative Assistant will have lead responsibility for the scheduling and administration required to ensure the smooth running of this programme.

You will work closely with the Department Communications team to ensure that seminars and events are effectively publicised through social media and University channels.

As part of a small administrative team you will also assist in other aspects of the Institute's administration supporting the Institute Director and the Director of Research.


You will manage the organisation of meetings, seminars and events, acting as a first point of contact, responding to general enquiries from visitors and staff, producing and maintaining schedules, highlighting any issues or conflicts, and developing new procedures and systems to improve organisation and scheduling, as required.

You will produce and maintain sources of information including for social media, the website and reports to assist the Department Comms team, draft minutes for the Management meeting and ensure publication records are kept up to date.

Other duties will include providing cover for the Kennedy Receptionist and reception team, as and when required and be an Oracle shopper raising Purchase orders for accommodation, transport, events etc.


You will be educated to GCSE (or equivalent) grade C or above in Maths and English, have the ability to organise events and make administrative arrangements and have experience of managing administrative processes.

You must have previous experience of working as a part of a team in a busy office environment, have good communication and interpersonal skills as well as have excellent attention to detail and a methodical approach to work.

Being educated to A level standard (or equivalent), willingness to understand relevant training and experience of communications activities, print and digital is deseriable.

This is a full time, permanent role.
