Personal Medical Secretaries work primarily for the Consultants who have a considerable caseload of patients, both inpatient and outpatient, resulting in a variety of reports and other statutory documentation being produced.

The Consultants spend a great deal of time away from their offices and the Personal Medical Secretaries therefore are responsible for handling a wide variety of administrative duties on their behalf and being able to prioritise their workload accordingly.


All work must be consistently performed to the standards set within the Administration Department's internal SLA agreement, policies and procedures.


  • Receive telephone calls on behalf of the Consultants using initiative to deal with matters where possible, taking messages and re-directing calls as appropriate. The content of these calls may require the communicating of sensitive information or providing reassurance in an appropriate manner. Liaison with staff from external agencies, internal departments, service users and carers.
  • To use own initiative in disseminating information in the absence of the Consultants
  • Typing of a wide variety of letters and documents from manuscript, shorthand, audio cassette and electronic dictation. Replying to correspondence on behalf of the Consultants, and multidisciplinary
team as necessary.


  • Maintenance of Consultants diaries.
  • Arranging meetings and visits both internally and externally and arrange overnight accommodation and travel as required.
  • Completion of travel expenses on a monthly basis for the Consultants.
  • Booking annual leave and study leave and ensuring appropriate documentation is forwarded to appropriate personnel.
  • Compilation of activity data for the Consultants on a monthly basis for statistical purposes.
  • Maintain patients' files and filing system for the Consultants and the wider CYP MHS team.
  • Receive and open incoming mail, screening and prioritising before forwarding to the Consultants.

  • Arrange Peer Group Reviews and Case Conferences, informing all multidisciplinary teams and outside agencies as necessary and ensuring suitable venue is booked.
  • Inform Control Room Operatives of visitors to the Unit.
  • Prepare agendas, attend meetings, transcribe and circulate minutes of meetings including the clinical team meeting held on a weekly basis.
