Description

MAIN TASKS:

  • Dairy Management schedule & coordinate internal and external meetings in London, Europe and beyond
  • Travel Management
  • Liaise with companies for hotel rates in STR
  • Assist HO staff and senior management with travel booking for London
  • Processing of expenses and keeping teams up to date with travel and expense policies
  • Assisting the team and the London Branch in the absence of the EA to the London GM and receptionist with IT enquiries: making sure conference telephones, work mobile, phones and video equipment are functioning when required and arranging internal and externalcalls/video conferences and meetings
  • Assisting with presentations and documents
  • Screening of incoming telephone calls
  • Assisting fellow assistants and reception/facilities with their day to day work and cover whilst on holidays
  • Handling of invoices and liaising with cost management and accounts departments in London and Europe independently
  • Meeting organisation and diary management in the absence of EA to GM
  • Regular reception and facilities cover where required, including lunch
  • Maintain confidentiality of sensitive issues at all times
SKILLS & REQUIREMENTS

  • Experince using Concur
  • Previous team admin support
  • Good team player
  • Ability to communicate on all levels
  • Capable working to deadlines
  • Familiar with travel bookings
  • Ability to adapt to new situations quickly and efficiently
