Description

Working on ward 23 gynaecology covering reception, answering the telephone and carrying out various administration duties, including printing and posting letters, dealing with the E-referral system and outpatient waiting lists.

To meet and greet parents for their child's appointment

Answer any telephone queries

Carry out any admin duties including scanning, printing labels for correspondence that needs returning to Restore

Managing referrals

Any tasks the consultants may request

To welcome, receive and greet all visitors to the area, providing the first point of contact for all service users, resolving routine enquiries and complaints professionally and in accordance with Departmental and Trust standards and procedures, referring other queries to relevant colleagues where appropriate.

Responsible for implementing, updating and maintaining both manual and electronic systems and databases according to Trust policies and procedures.


Dealing with referrals from either the e-referral service or green forms, ensuring all are triaged by consultants and booking appointments accordingly.


Be responsible for dealing with all calls received from patients and families in a professional manner, ensuring telephone standards are met.


Ensure all patients parents/carers are furnished with the relevant information documentation and advised as to the appropriate contact for further assistance.

Be responsible for ensuring all communications associated with the appointment process e.g. with Clinicians, patients, GPs and relatives etc are undertaken in an expeditious and appropriate manner.

Assist with training new team members in operational Departmental and Trust procedures.

Undertake filing, scanning and photocopying as necessary ensuring all documents are accurately and appropriately achieved.

Prioritising daily tasks to achieve set timescales.

Collate, input and monitor department documentation and information to assist with the production of monthly reports.

Provide appropriate cover in the absence of other members of the team.
