Job Purpose


You will support the team with administrative services with regards to TMF's Process Agent Service line, including acting as a point of contact and a legal address for contract purposes in order to support the delivery of a range of Corporate Secretarial services to TMF clients.


Key Responsibilities

  • Act as a point of contact for the administration of process agent enquiries and appointments ensuring that they are replied to within the timescales provided by management
  • Database management and other tracking tools, as required
  • Deal with any process agent related notices or other documentation served at the London office in accordance with internal procedures and controls
  • Archiving of process agent documentation as an when required
  • Deal and allocate registered post
  • Prepare requests for Tax Residency Certificates
  • Support the ISO team with ensuring all client documentation is cleared away at the end of the day
  • Ensure appropriate controls, policies and processes are adhered to
  • Support the credit control with any debtor management working with the Internal finance team
  • Any other duties as reasonably requested
  • Support the invoicing within the process agent team
  • Provide the senior management team a weekly report detailing budget
  • Client billing and debtor management
Technical Expertise

  • Developing technical knowledge through reading and attendance at inhouse training workshops.
  • Preparing relevant forms for tax purposes and following up with HMRC
  • Preparing and reviewing client work in accordance with quality and risk management procedures
  • Other TMF offices and teams (internal referrals of Process Agent, client payments, ensuring effective liaison and client service delivery
  • Internal Finance on client setup, invoicing and debt collection

Requirements:


  • Expertise in all MS office packages (Word, PowerPoint, Excel, Outlook)
  • Proven experience in a support role & dealing with external parties
  • Proactive in approach
  • Willingness to learn and develop yourself is key
  • Excellent written and verbal communication skills
  • Excellent organizational skills and the ability to work under pressure
  • Excellent attention to detail
  • Experience in office administration is desired although training will be provided
