LEGAL SECRETARY

MENTAL HEALTH / COURT OF PROTECTION DEPARTMENT

Presently based at:
Byker, Newcastle


Overview
Ben Hoare Bell LLP is a well-established legal practice operating from three offices in Newcastle, Sunderland and Gateshead.


The practice has a strong ethical base and wishes to remain committed to operating within the publicly funded area of legal work, offering a high-quality service to people regardless of means.


The Mental Health / Court of Protection (Health and Welfare) department currently employs 2 solicitors, 2 trainee solicitors and 1 secretary.

The department currently holds a Legal Aid contract to cover the North.


Although this post is presently based in Newcastle the post holder may be required to work from any office used by Ben Hoare Bell LLP.


Main Duties and Responsibilities
General

  • To undertake administrative and other departmental tasks/duties including word processing.
  • To produce a wide range of documents with speed and accuracy.
  • Billing and other file related tasks.
Administration

  • To undertake a full range of administrative tasks relating to case files.
  • To comply with the firms file management and file organisation procedures.
  • To record all court dates in the diary and ensure that the fee earner is aware of them.
  • To record messages and attendances and to ensure that the relevant fee earner receives information in a timely manner.
  • To deal with the post and diaries in an efficient manner.
  • As delegated by the fee earner with whom you are working, to carry out and record both on the file and on the case management system, items of fee earning work as appropriate to your level of experience and training.
Working with others (clients, agencies and other third parties)

  • To deal with a range of individuals and agencies in a friendly and efficient manner.
  • To deal with clients in a friendly, sensitive and efficient manner.
Other

  • To assist in the supervision or training of new staff.
  • To undertake reception duties when required.
  • There will increasingly be scope for secretaries to carry out elements of fee earning work under the supervision of fee earners.
The post holder will work with more than one fee earner at a time. They may also work with people in other departments.

It may be necessary for the post holder to transfer to work in another department to meet the requirements of the firm.

This will only be after full consultation with the post holder.

Qualifications

  • Qualification related to typing or secretarial or legal work (desirable).
  • Evidence of a good level of academic ability in Maths and English (essential).

Experience

  • Experience of legal secretarial or administrative work (essential).
  • Experience of legal aid work (desirable)
  • Interest or experience in Mental Health and/or Court of Protection work (desirable)

Skills (all essential)

  • Good communication (written and oral)
  • Good quality and speed in both copy and audio typing.
  • Computer literate with experience in Microsoft office.
  • Ability to work to tight deadlines.
  • Ability to work as a team member.
  • Good interpersonal skills.

Personal

  • Understanding of the ethical principles of the firm.
  • Resilience
  • Willingness to undertake or attempt the unfamiliar
