Position:
Administrative Assistant (12 Month Fixed-Term Contract)


Reports to:
Commercial Manager


Key Accountabilities:


  • Process incoming orders, assist with telesales and sales support tasks.
  • Support and collaborate with the external sales team to meet key sales objectives.
  • Liaise regularly with internal customers including production, business development, product. development and logistics team to ensure crossdepartmental communications are accurate and timely.
  • Coordinate and assist in the setting up and running of sales exhibitions.
  • Monitoring of customer accounts & ensuring price lists are up to date.
  • Maintaining accurate and up to date sales systems for the benefit of the sales team.
  • Provide general account management function as well as associated administrative support.
  • Liaise regularly with internal customers including production, business development, product development and logistics team to ensure crossdepartmental communications are accurate and timely.
  • General customer liaison and timely resolution of issues and queries.
  • Escalate relevant customer issues and complaints.

Associated Responsibilities:


  • Following up on quotes
  • Track and monitor the flow of sales orders
  • All other administrative duties as required by the Commercial Manager

Experience and Training:


  • Proficiency in the full MS office suite.
  • Excellent communication and interpersonal skills.
  • High level of accuracy and attention to detail.
  • Evidence of experience in influencing others and collaborating with team members at all levels.
  • Effective organisational and prioritising skills.
  • An ability to work under pressure and to strict deadline.
  • Previous experience of using Salesforce or a similar CRM system is desirable.

Essential Criteria:


  • A minimum of five GCSE, including English and Mathematics, or equivalent.
  • Previous customer service administration experience and the ability to understand customers' needs.
