Job Summary:

To provide comprehensive clerical support for the ward. To retrieve/prepare all relevant documentation for the ward staff. To ensure accurate and timely data input on to the hospital PAS system for all admissions, discharges and transfers. To ensure all relevant documentation is filed into medical records folder.


Key Relationships:

Ward staff, administrative staff, patients and families.

We are looking to recruit a reliable Ward Clerk on a permanent basis for the Critical Care Unit.


Hours:
Saturday 13:30-20:00, Sunday 13:30-20:00

Main Duties and Responsibilities:


  • Meet and greet patients and families on to ward, ensuring patient details are correct and verifying with GP surgery when necessary.
  • Using smartcard to access the National Spine to verify patient demographic details and NHS numbers when required.
  • Retrieve/prepare all relevant documentation for ward admissions.
  • To process all admissions, discharges and transfer of patients using the hospital information system (Meditech) in real time and print off ward list.
  • Ensure case notes are kept in good order, attaching all necessary documentation to correspond with patient's admission/transfer/discharge.
  • Prepare the in-patient trolley for ward rounds, ensuring all relevant documentation is available where applicable.
  • Ensure specialist records/audits are retrieved from hospital notes on discharge and sent to relevant department where applicable.
  • To arrange follow up appointments with various departments on patient's discharge, including peripheral clinics.
  • To arrange ambulance/transport for patients as required.
  • Liaise with ward staff, admin staff and other departments as and when required.
  • To deal effectively with all incoming and outgoing correspondence.
  • To book interpreters as and when required.
  • To deal with telephone enquiries in a timely manner and take appropriate action.
  • To liaise with Estates Department regarding routine maintenance of ward when necessary.
  • To carry out general clerical duties including filing, faxing and photocopying.
  • To undertake relief duties of other ward clerks during their absence and to act as mentor when the need arises.
  • To effectively liaise with other departments internally and externally with regard to all aspects of patient care.
  • Photocopy, laminate and display ward information as requested by Ward Manager.
  • Support the Meditech Downtime process as guided by the Ward Manager.
  • Copy type minutes, relevant documentation for Ward Manager.
  • Scan records to appropriate folders - ward applicable.
  • Receive and process critical care bed requests - ward applicable.
  • Co-ordinate Mac House requests for parents/families.
  • Print time sheets and ETAD's
  • Co-ordinate midwifery support as required for neonatal unit - ward applicable.
  • Distribute patient information documentation for parents.
