The Royal Eye Infirmary is looking for a Rota Co-Ordinator Administrator to join the administration and clerical team in REI.


The post holder is responsible for the support of the administrative co-ordination of the Junior and Senior medical staff rotas across Ophthalmology whilst escalating any issues as necessary to the Rota Co-ordinator.


Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.

  • To support with the creation of rotas in a timely manner (i.e. available for publication minimum 6 weeks in advance) and to work with the rota coordinator to ensure that they are compliant with Trust guidelines.
  • Support the rota coordinator to ensure that rotas meet the operational demands of the service
  • Revision of rotas, as necessary, to allow for shift swapping / leave requirements ensuring that absences are managed in accordance with Trust Policy, escalating issues as necessary.
  • To support with the redesign of rotas to minimise locum expenditure due to sickness / unplanned absences
  • To work closely with the Clinical Administration Managers and Rota Co Ordinator around the delivery of outpatient and theatre sessions to ensure capacity is utilised efficiently
  • Daily checks of medical staffing to ensure staffing levels are sufficient due to sickness or leave and escalating issues when necessary
  • Ensure that new and locum staff are effectively incorporated into rotas at the direction of the rota coordinator
  • Ensure the effective recording of all types of leave for the specialty
  • To support rota coordinator with promotion of flexibility of staff and leave arrangements, to include negotiation with junior doctors regarding duties where appropriate
  • Develop knowledge underpinned by theory of the Junior Doctors' New Deal and EWTD to manage and produce compliant rotas within the specialty.
  • To support the rota coordinator to devise creative and innovative solutions to ensure compliance with regulations escalating issues as required
  • Ensure effective communication and escalation around issues and problems
  • To be able to communicate with all levels of staff with discretion and diplomacy
  • To support with the negotiation with junior doctors, consultants and service lines in the planning of rotas to ensure EWTD / New Deal compliance
