The postholder will be responsible for supporting the Health Records Service Manager in the delivery of the day to day management and operational delivery, Trustwide, of the Health Records Libraries.


Working with the Health Records Service Manager you will be responsible for ensuring compliance with local/national policies and procedures and relevant legislation which are key components to ensuring the delivery of and efficient and effective service.

Salary is £21,730 - £23,177 per annum pro rata. In addition, on-call 4.5% supplement plus enhancements for out of hours working


Responsible for the day to day operational delivery of the service ensuring work is undertaken in accordance with local policies/procedures, considering all Trust operational requirements, to ensure that the service is delivered within agreed timescales and to acceptable standards.


Responsible for day to day supervision and allocation of work to staff within the Health Records Libraries by populating e-rosters, authorizing timesheets and annual leave requests to ensure that resources are at acceptable levels to deliver the service.


Input and collation of key performance data using a range of software packages to retrieve and present information, ensuring the data is robust and accurate for onward transmission to the Health Records Service Manager.

Assist the Health Records Service Manager to implement a continual programme of service improvement review, ensuring that processes, policies and procedures, working practices and systems are effective, safe and efficient.


Have a thorough understanding of service operational policies and procedures to enable the service and staff to be supported accordingly.


Deputise for the Health Records Service Manager as and when appropriate, attending operational service meetings and feeding back issues raised to enable decisions to be taken.

Ensuring that the service is compliant with confidentiality and security requirements, operating in accordance with Trust policies and procedures.


Responsible for ordering and monitoring stock levels, ensuring they remain within acceptable limits and that all equipment is fit for purpose.

Liaise with suppliers and purchasing department, supporting the production of tenders and negotiations to ensure value for money.


Preparation of reports to inform the archiving of health records and liaison with external storage suppliers for onward transmission of identified records, ensuring that records are kept to support the transaction(s).


Maintain regular communication with internal departments to ensure that day to day operational issues are resolved and share lessons learnt.


Assist in the training for other internal departments/individuals in the use of the case record tracking (CRT) system and raising awareness of service standard operating procedures.


Working with other internal departments to seek operational service delivery solutions to any presenting issues using a problem solving approach which engages all parties.

Submit and respond to datix incidents in accordance with Trust policy and procedures using tact, empathy and diplomacy.


Work with the Health Records Service Manager to respond to any complaints received in accordance with Trust policy which may require direct contact with patients.

Provide training to Trust wide staff on all operational aspects of the Health Records Library.

Contribute to the development of Trust wide systems and training packages relevant to Health Records Libraries.


Communicate with staff, Trustwide, to raise awareness of the service standard operating procedures and deal with any day to day operational queries as and when they arise.

Contribute to the development of service policies and procedures.

Under the direction of the Health Records Service Manager communicate with external partners any changes/updates to local working practices.
