Reception Supervisor
Hours:
Hours per week Spread over 5 days.

Job Summary:
To Supervise and lead the reception team daily.
Duties and Responsibilities
These duties are in addition to usual reception duties;
- Producing and overseeing the reception rota
- Managing Reception holiday/sickness cover
- Keeping reception notice boards tidy and up to date
- Ensuring the reception area is fully stocked with stationery and equipment, placing orders when necessary
- Ensuring the cleaning checks are being done and to a high standard
- Keeping waiting area notice boards tidy and up to date
- Keeping the outside notice boards tidy and up to date
- Liaising with the Operations manager regarding maintenance issues and repairs
- Assisting in the reception teams appraisals alongside a member of senior management
Other responsibilities include overseeing:
- Keep up to date with workings of EMIS web
- Be familiar with current protocols
- Keep up to date with changes to GP (General Practitioner) rotas
- Reception
- Answer the telephone, redirect calls as appropriate, answer queries, and take messages.
- Book appointments and recalls, ensuring sufficient information is recorded to retrieve medical records.
- Make future appointments and recalls according to agreed guidelines and protocols.

General Responsibilities for All Staff
The post-holder is expected to:
- Adhere to practice policies and procedures and relevant legislation including the requirements of professional bodies.
- Attend mandatory training as identified by the practice which includes Information Governance and GDPR, Understanding Mental Capacity Act, Safeguarding vulnerable adults and children (all members of staff have a responsibility to demonstrate due regard for safeguarding and promoting the welfare of children and vulnerable adults)

The post-holder must maintain the confidentiality of information about patients' staff and practice business in accordance with GDPR and Caldicott principles.
- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
- In the performance of the duties outlined in this job description, the postholder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
Health & Safety
Employees must be aware of the responsibilities placed upon them under the Health and Safety at Work Act (1974), to ensure that the agreed safety procedures are carried out to maintain a safe environment for employees and visitors.
Transparency & Incident reporting
All members of staff have a responsibility to report all clinical and non-clinical accidents, incidents or near-misses promptly and when requested to co-operate with any investigations undertaken.
