Overview

The project coordinator's role will primarily focus on supporting key projects led by the organisation's adventure and opportunities team.

Working closely with a professional and skilled staff team to support the needs of our volunteer delivered organisation. Ensuring our membership offer is delivered in line with project objectives, budgets and timelines. The role plays a pivotal part in ensuring we show our young members that all girls can do anything.

Purpose of the role

As a member of the Girlguiding Anglia communications and opportunities team, you will coordinate the administrative and logístical support for multiple projects.

These will include but not be restricted to our leader and girl international trips, partnership opportunities, large scale girl events and any other relevant projects.


You will deliver effective and efficient administrative systems to facilitate the work of the outdoor and adventure team and their projects to support the diverse range of virtual and face to face events we offer.


This role is also responsible for providing support and advice to the volunteer members of the outdoor and adventure team and administrative support to the communications and opportunities manager.


Strong organisational and communication skills are essential as the role sits within several networks across county, regional and national teams.

You will be required to represent Girlguiding Anglia within numerous project groups, communicating with diverse audiences.
Main areas of responsibility

  • Project coordination and administration for the volunteer outdoor and adventure team, including:
  • Organising meetings, agendas, papers, and any logístical needs for key projects.
  • Ensuring project team members are kept informed of actions and updates.
  • Developing and managing administrative project support.
  • Managing booking systems and exporting data as required.
  • Support the evaluation process and data capture for all events.
  • Ensure data compliance measures are followed at all times.
  • Work in partnership with the region communications team to ensure the relevant promotion of events plus advising them on any assets or resources which may be required.
  • Maintain and review business process systems when relevant to the role.
  • Access and maintain the accuracy of relevant records within the Girlguiding membership customer relationship system (GO CRM).
  • Work collaboratively with the membership experience committee to ensure appropriate communication and information sharing.
  • Ensure the retail manager is kept up to date with any relevant project requirements ie merchandise or badges.
  • Liaise with the region finance team in managing allocated budgets and risks associated with the delivery of outdoor and adventure opportunities.
  • When relevant, work with Girlguiding's national and other regional teams to provide key insight and member feedback on relevant projects.
  • Maintain networks with key region and county volunteers, national staff teams and other regional peers.
  • Provide administrative support as required to the outdoor and adventure volunteer team leader, Queen's Guide lead volunteer, and the region's international lead volunteer and team.
General role expectations

  • This role may require some travel across the Girlguiding Anglia region. The ability to drive and access to a car would be an advantage.
  • Be confident in the use of general IT packages and willing to learn new digital skills as the role requires.
  • To conduct all activities in a manner which promotes and enhances the image and reputation of Girlguiding Anglia.
  • Attend regular team meetings either virtually or in person, as part of the team allowing for crossteam collaboration and support.
  • Be flexible to work evenings and weekends as required to ensure the successful delivery of key projects. Time off in lieu will be given for any additional hours worked outside the agreed standard working pattern.
  • It is expected that the job holder will comply with all aspects of data protection regulations and cyber security.
Person specification

  • A proven track record of project and/or event coordination.
  • The ability to work confidently as part of a team which includes both staff and volunteers. Building and maintaining positive and professional relationships.
  • Be selfmotivated, target aware and able to keep yourself to account within project timelines.
