The role requires excellent organisational skills, strong communication abilities, and the ability to multitask effectively.
Responsibilities:
- Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visas, ensuring efficient and costeffective arrangements
- Manage the Managing Director's calendar, prioritise appointments, and ensure timely and accurate scheduling of meetings, conferences, and events.
- Coordinate internal and external meetings, including arranging logistics, preparing agendas, and providing necessary materials
- Handle all incoming and outgoing correspondence,
- Act as a liaison between the Managing Director and internal/external stakeholders, demonstrating strong interpersonal skills and professionalism in all interactions.
- Process expense reports and maintain accurate records of expenses related to travel and other business activities
- Prepare meeting agendas, coordinate with participants, and ensure all necessary materials are available in advance.
- Attend meetings, record minutes, and distribute them to relevant stakeholders.
- Follow up on action items and deadlines to ensure completion.
- Oversee the management of promotional items, including warehouse inventory, restocking, and addressing sales queries.
- Collaborate with relevant teams to ensure timely delivery of promotional items to customers or participants
- Support the processing of promotional claims, particularly in consumer competitions and cashback offers
- Verify claim eligibility, authorise claims, and ensure timely and accurate processing
- Maintain detailed records of claims and related documentation
- Attend certain events as required, managing registration, coordinating with attendees, and providing onsite assistance.
Qualifications and Skills:
- Ideally degree in business administration, communications, or a related field (preferred).
- Proven experience as an executive assistant or in a similar role, supporting senior executives.
- Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
- Excellent written and verbal communication skills, with exceptional attention to detail.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong problemsolving and decisionmaking abilities, with a proactive and flexible approach.
- Ability to maintain composure and work efficiently in a fastpaced, highpressure environment.
- Discretion and professionalism in handling sensitive and confidential information.
