The role requires excellent organisational skills, strong communication abilities, and the ability to multitask effectively.


Responsibilities:


  • Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visas, ensuring efficient and costeffective arrangements
  • Manage the Managing Director's calendar, prioritise appointments, and ensure timely and accurate scheduling of meetings, conferences, and events.
  • Coordinate internal and external meetings, including arranging logistics, preparing agendas, and providing necessary materials
  • Handle all incoming and outgoing correspondence,
  • Act as a liaison between the Managing Director and internal/external stakeholders, demonstrating strong interpersonal skills and professionalism in all interactions.
  • Process expense reports and maintain accurate records of expenses related to travel and other business activities
  • Prepare meeting agendas, coordinate with participants, and ensure all necessary materials are available in advance.
  • Attend meetings, record minutes, and distribute them to relevant stakeholders.
  • Follow up on action items and deadlines to ensure completion.
  • Oversee the management of promotional items, including warehouse inventory, restocking, and addressing sales queries.
  • Collaborate with relevant teams to ensure timely delivery of promotional items to customers or participants
  • Support the processing of promotional claims, particularly in consumer competitions and cashback offers
  • Verify claim eligibility, authorise claims, and ensure timely and accurate processing
  • Maintain detailed records of claims and related documentation
  • Attend certain events as required, managing registration, coordinating with attendees, and providing onsite assistance.

Qualifications and Skills:

  • Ideally degree in business administration, communications, or a related field (preferred).
  • Proven experience as an executive assistant or in a similar role, supporting senior executives.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • Excellent written and verbal communication skills, with exceptional attention to detail.
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong problemsolving and decisionmaking abilities, with a proactive and flexible approach.
  • Ability to maintain composure and work efficiently in a fastpaced, highpressure environment.
  • Discretion and professionalism in handling sensitive and confidential information.
