Receptionist/Administration Officer

Job Summary
To be the first point of contact for people contacting the Daisy Programme


To provide efficient and effective administrative support for Daisy Programme services to people who have experienced or are experiencing domestic and sexual abuse.

To operate in accordance with best practice and within the policies and procedures of Daisy Programme.


Responsibilities

Reception

  • To provide the first point of contact for new clients coming into service, professionals, contractors, and the public
  • Establish if people wanting support meet the criteria for Daisy Programme services and where not, refer or signpost to suitable alternatives
  • Collect client details and refer to Client Support Officers for initial assessments
  • Provide phone cover for office

Administration Support for Daisy Programme Trauma Recovery Service

  • Provide accurate recording of Daisy Programme activities and case records on Daisy Programme Case Management System.
  • Run reports on Daisy Programme activity for project and internal reporting using data collected from Daisy programme systems.
  • Coordinate the delivery of group sessions by advertising courses, liaising with clients and facilitators, issuing joining instructions and booklets and collating impact information.
  • Provide support for Daisy Programme financial processing, fundraising initiatives, risk assessments, premises and equipment records, and HR administration
  • Send information, forms and weblinks to clients at point of referral or as instructed by service delivery team.
  • Take minutes and issue agendas for internal meetings
  • Help maintain Daisy Programme database of external organisations
  • Create confidential and uptodate service user records using Daisy Programme client database.

Internal and External Liaison and communication

  • Communicate positively with colleagues and promote Daisy Programme values and ethos across the organisation.
  • Advise Business Support Officer when office sundries and supplies are required
  • Attend and participate positively in relevant meetings, training, supervision and appraisals.
  • Promote the work of Daisy Programme modelling a high standard of professional behaviours.
To undertake all other reasonable tasks requested by the management team.


Qualifications:
-
Skills and experience
At least two years' experience in a customer facing role, preferably with vulnerable people, and experience of providing administration within a service organisation


Administration

  • Have a proven track record of delivering high quality administration and possess excellent IT skills, with experience of MS Office and online communication platforms, such as Zoom. _Please note these will be tested at interview._
  • Be a strong team player and have the skills and ability to build and maintain positive relationships with colleagues and external partners
  • Have the ability to deal with changing priorities and unique situations and respond effectively to these seeking to resolve issues promptly
  • Be accurate, with good attention to detail

Communication

  • Strong communication skills and experience of engaging sensitively with victims and/or vulnerable people including people who are distressed or upset
  • Be able to greet callers, take messages and respond to enquiries with a warm empathetic professional manner
  • Have good written skills and the ability to present information clearly and take minutes of meetings
  • Have experience of social media

  • Experience is more important than qualifications. _Administration skills will be tested by a practical exercise at interview._

Job Type:
Part-time

Part-time hours: 25 per week


Salary:
£20,650.00-£21,852.00 per year
