Summary of Role:


The role of the Retail Debt Controller is to manage 6 retail sales ledgers in conjunction with the Retail Administrators to ensure a high level of cash flow and minimize levels of overdue debt.


Duties & Responsibilities:


  • Credit Control chasing up of overdue debt both retail (Supermarkets) and nonretail
  • Customer credit checks via Credit Safe and Credit limit management of existing customer base
  • Maintain the Credit insurance policy in conjunction with Group Credit Manager
  • Retail and Nonretail Invoicing and raising of credit notes. Manual invoicing of nonstandard sales.
  • Daily banking and allocation.
  • Regular communication with the customer and the issue of weekly statements
  • Ensure uninvoiced debt is kept to a minimum and invoiced within agreed timescales.
  • Ensure claims are raised against third parties within agreed timescales and followed up for resolution.
  • Exposure to Good Faith Receipting is desirable
  • Ensure purchase ledger deductions are actioned and followed up within agreed timescales
  • Liaise with members of the Retail Administration department, Account Managers, Customers and Suppliers to resolve issues as they arise
  • Improve internal controls and processes to ensure that overdue debt is minimised
  • Production and analysis of Retail debt reports required for monthly debt meetings with Senior Management as well as on an ad hoc basis.

Period End

  • Execute accounting periodend routines in accordance with defined periodend checklists.
  • Debtor reporting

Master Data Management

  • Responsible for processing updates to specific master data files e.g. New customers, credit limits

Person Specification:


  • Retail debt experience and exposure to credit insurance.
  • Be of strong character, a determined and tenacious individual who has effective communication and negotiation skills
  • Keen eye for detail and provide accurate information
  • Excellent verbal and written communication skills
  • Must have the drive and persistence to proactively raise and address issues as they arise.
  • Good IT Proficiency (Outlook, Excel, Word, Navision)
  • Numerate and ability to work accurately and quickly is paramount in this role.
  • Works effectively tackling immediate demands decisively, whilst retaining a broad awareness of emerging requirements. Demonstrates a good sense of priorities, structures workload effectively and delivers consistently good results.
  • Ability to interact with internal and external customers at all levels within the business
  • Flexible & adaptable to the changing requirements of the business
  • Be capable of working on own imitative and to work as part of a flexible team in times of operational demands or to provide support or cover for colleagues during periods of absence.
  • Ability to meet deadlines and work under time pressures.

Reports to:
UK Group Credit Manager


Internal Relationships:

Liaison is necessary with all departments, in particular, the other members of the Retail Administration team, Category Managers and Finance department.


External Relationships:
Close working relationships are to be developed with Customers and Hauliers.
