Operations Coordinator Job Description

Full time:
Monday to Friday


Reporting to:
Head of Operations


Overview


To provide operational support to all areas of the company, to ensure all company critical deadlines are met for both the company and the customer.

Working closely with the Production Team to provide a service which allows them to deliver and meet their own deadlines.

Supporting the Health & Safety agenda and striving for excellence.


Skills

  • Minimum of 3 years' experience in administration or office duties.
  • Highly experienced with using Microsoft Office Suite in particular Excel.
  • Excellent Numeracy and IT skills, an eye for detail.
  • Ability to prioritise workload and selfmotivate.
  • A quick learner capable of understanding business critical deadlines.
  • Can build relationships across all areas of the business and can listen and learn the needs of the team.
  • The ability to operate under pressure during peak periods and meet the deadlines for the company and customer.
  • A flexible and 'can do' approach, who is open to new challenges and welcomes challenge to improve and build knowledge of the business.
  • The ability to identify improvements and strength in character to put forward recommendations to improve efficiencies.
  • Knowledge and a basic understanding of working with and alongside the HSE.

To include but not limited to:

  • Manage sheets & reports, league tables and communications in a timely manner.
  • Manage local sales.
  • Management of label confirmation, generation, communicating with production and customers.
  • Communicating with our sister company
  • PSL to advise of orders that are complete and can be despatched.
  • Management of Weigh and Cut Photos/Landing Sheets and the distribution of the relevant information in a timely manner.
  • Manage the generation of pallet cards for both fresh & frozen products.
  • Generation of goods in and production work orders for the next day. Complete daily plan using dashboard and work order information.
  • Complete planning sheet using Driver Daily Instructions Records.
  • Document Control for Work Orders once complete.
  • Work closely with the operations manager to organise production planning and staff numbers allocated to specific work areas. The detail of the staff plan must be communicated to the staff.
  • Manage the Production Schedule to ensure that all orders and goods dispatched are received and updated on to the schedule as soon as goods are dispatched or as the orders are visible. They must be accurate in detail and any amendments must be updated in good time. Ensure dispatch tab is updated in good time.
  • To ensure production schedule and dispatch spreadsheet is updated and printed, in preparation for Production meeting each week.
  • Ensure all work orders are producing 'normal/sensible values' and are imputed onto production analysis spreadsheet in good time. Distribute and communicate accordingly.
  • Manage and control packaging requirements for the factory.
  • Coordinate Health & Safety requirements, processes and procedures including management of training records, HSE visits and meetings.
  • Manage the training matric, training documents and the creation of training documentation.
  • Support Ops Manager with transport administration.
  • Generation and delivery of analytical production data to the Senior Management
Team.

  • Manage the generation of cuttle processing, availability, weekly stock calculations and the communication of those calculations.
  • Manage the generation of Orders v's stock calculations and communicate the results accordingly.
  • Oversee the management and control the Personal Protective Equipment (PPE) including preparing PPE for new starters. Input PPE stock into spreadsheet and order PPE when necessary.
  • Understand the basics of export paperwork to support export team.
  • Support production of management processes and information
  • Manage DHL bookings and collections.
  • Ad hoc project work, working alongside the production teams and directors.
