Description
Key Tasks and Responsibilities.

  • Coordinate all written and verbal communications between engineering and customer services departments and update the company CRM accordingly.
  • Send order acknowledgements to clients for new maintenance and renewed contracts.
  • Responsible for the "onboarding" of all new PPM Contracts and Renewals.
  • Inputting onto the CRM system all new maintenance and renewed maintenance contract information.
  • Ensuring all client and System Asset details are correct, current, and kept up to date.
  • Ensure all handover notes and asset information are inputted into the CRM system.
  • Raising maintenance purchase orders and issuing them to subcontractors for the contract term.
  • Raising of Draft Proforma invoices from the CRM, ready to be submitted once the job has been Financially Completed on the CRM system.
  • Procurement and logistics of equipment, materials, specialist plant and machinery, together with labour (both internal and external) to support ongoing works.
  • Reporting all 'won / renewed' and 'lost' contracts on a weekly basis to the Service Operations Manager.
  • Escalating any discrepancies for any financial losses on all new and renewed contracts,
  • Liaising with Group Resource Manager and Service Schedulers on any adhoc items such as monitoring and engineer information.
  • Timely reminder of upcoming PPM renewals to Group Resource Manager (based on CRM monthly runoff Reports).
  • Immediately report and react to any client needs quickly and professionally, making every effort to ensure that problems are resolved to the client's satisfaction.
  • Set a good example to all colleagues by completing all necessary company documentation punctually and in accordance with any guidelines or schedules issued (including weekly activity reports, monthly sales forecasts, customer meeting minutes etc).
  • Train, support, manage, share knowledge, encourage best practices, and help develop techniques with other staff members.
  • Observe and adhere to company health & safety guidelines and contribute to a healthy and safe working environment.
  • Always maintain a professional appearance and manner, consistent with the clients and companies' expectations, and in doing so help to promote the image of the Company.

Part-time

Part-time hours: 32 per week

From £25,000.00 per year

  • A-Level or equivalent (preferred)

  • Fire & Security: 1 year (preferred)
