The Position:
Customer Service Administrator
The Role
- Handling incoming service calls, listening to customers' concerns, and providing appropriate solutions.
- Coordinating and scheduling remedial work for doubleglazed windows and doors, ensuring timely completion and customer satisfaction.
- Staying updated on ongoing projects, organising necessary materials, and booking fitters for second fixes. Completing signoffs and accurately inputting paperwork into the administrative database.
- Sending cost estimates to clients for chargeable materials, following up on acceptance, and maintaining cost records in the administrative database.
- Proactively ordering or sourcing required materials for service calls, ensuring efficient resolution for customers.
- Maintaining and updating the engineers' diary for accurate scheduling and resource allocation.
- Keeping clients informed of service call progress, providing updates, and maintaining clear and timely communication. Closing job files by sending completed service call paperwork.
- Collaborating with the accounts department by providing completed paperwork and cost acceptances for invoicing purposes.
The Person
- Prior experience in a customer service or administrative role is preferred.
- Excellent communication skills, both verbal and written, with a strong focus on customer satisfaction.
- Great organisational skills with the ability to prioritise tasks and meet deadlines.
- High attention to detail and accuracy in handling paperwork and documentation.
- Proficiency in using computer systems and administrative software.
- Ability to work independently as well as part of a team, collaborating effectively with colleagues and departments.
