The Position:
Customer Service Administrator


The Role

  • Handling incoming service calls, listening to customers' concerns, and providing appropriate solutions.
  • Coordinating and scheduling remedial work for doubleglazed windows and doors, ensuring timely completion and customer satisfaction.
  • Staying updated on ongoing projects, organising necessary materials, and booking fitters for second fixes. Completing signoffs and accurately inputting paperwork into the administrative database.
  • Sending cost estimates to clients for chargeable materials, following up on acceptance, and maintaining cost records in the administrative database.
  • Proactively ordering or sourcing required materials for service calls, ensuring efficient resolution for customers.
  • Maintaining and updating the engineers' diary for accurate scheduling and resource allocation.
  • Keeping clients informed of service call progress, providing updates, and maintaining clear and timely communication. Closing job files by sending completed service call paperwork.
  • Collaborating with the accounts department by providing completed paperwork and cost acceptances for invoicing purposes.

The Person

  • Prior experience in a customer service or administrative role is preferred.
  • Excellent communication skills, both verbal and written, with a strong focus on customer satisfaction.
  • Great organisational skills with the ability to prioritise tasks and meet deadlines.
  • High attention to detail and accuracy in handling paperwork and documentation.
  • Proficiency in using computer systems and administrative software.
  • Ability to work independently as well as part of a team, collaborating effectively with colleagues and departments.
