Are you ready to be part of a dynamic and growing team in the booming uncrewed aviation industry? We are looking for an Executive Assistant to ensure the smooth day-to-day operations of their business.
You'll be at the heart of the business, working alongside the two directors to ensure the smooth running of the business and play a crucial role in maintaining compliance with company requirements, including health & safety, while supporting the directors on various projects.

Run Office and Administration
- Keep the office running like clockwork, from managing phone calls and ordering supplies to overseeing various administrative tasks.
- Handle relationships with suppliers, from cleaners to IT support, ensuring seamless services.
- Proactively manage company insurances and subscriptions, reviewing and updating them on time.
- Maintain essential documents such as Health & Safety policy, Risk Assessments, and Company handbook, offering recommendations to directors when necessary.
- Schedule policy and procedure reviews in line with our ISO9001 audit schedule.
- Provide valuable administrative support to the directors.
- Identify grants and funding opportunities to support our business growth.
- Help produce and submit grant submissions.
- Manage conference, events, and networking calendar, identifying presenting opportunities.
- Support conferences and events by managing print materials, stands, and suppliers.
- Set up and maintain the customer database.
- Liaise with customers, suppliers, and partners.
- Handle Non-Disclosure Agreements for prospects.
- Draft contract agreements for new customers.
- Proofread and format word documents and presentations.
- Conduct internal audits in line with our ISO9001 audit schedule.
- Assist with adhoc research tasks.
- Print course materials and issue course joining instructions.
- Act as a point of contact for course participants.
- Manage course venues, including booking, details, and payments.
- Input receipts into Xero accounting software.
- Collaborate with accountants to ensure all supplier invoices are included in the monthly BACs run.
- Chase late payments and handle quotes.
- Experience in office management and/or executive assistance.
- A selfstarter with the ability to take the initiative and manage priorities effectively.
- An eye for detail and excellent interpersonal skills.
- Proficiency in Microsoft Office suite (Word medium to advanced, PowerPoint medium, Excel basic).
- Shared values of integrity, responsiveness, knowledge, and supportive partnerships.
- Understanding of basic accounting and reconciliation.
- Experience using Xero would be a nice to have
Our flexible location allows you to work from home or anywhere else, but you must be able to visit our office at Goodwood, West Sussex, at least once a week.
- Salary: Up to £35k per year prorata.
