The post-holder will provide a comprehensive and courteous reception service for the hospital Pharmacy Department, together with supporting the General Office Admin Team with various administrative tasks as required.

To work in collaboration with all staff within the Pharmacy Department, ensuring strict compliance with Trust policies and procedures.


Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.


To co-ordinate the day to day running of the hospital Pharmacy Reception ensuring that all staff and patients are greeted in a friendly and professional manner and are provided with a smooth and efficient service.


To support the Pharmacy General Office Team with all aspects of general administration, including filing, photocopying, stationary ordering, data input and room bookings.

To be the first point of contact for, staff, visitors and employees to the Pharmacy Reception, to welcome persons into the department, to deal with all general enquires and direct staff and patients to the appropriate waiting area.


  • Following appropriate training, use Clinical Systems such as SALUS and SEE-EHR to print TTA's for the Pharmacy Dispensary Team to enable them to dispense patient medications.
  • To provide administrative support to the Pharmacy Administration Officers, Pharmacy Office Manager and Senior Management Team when needed.
  • To manage the storage of paper records within the department, arranging destruction and transportation when necessary.
  • Organise and maintain filing systems and ensure filing is completed in a timely manner.
  • To laminate and print documents when required and within acceptable timeframes.
  • To sort and open incoming mail and distribute correspondence to relevant departments.
  • To input data onto spreadsheets, databases and other forms of computer or manual records.
  • Maintain electronic diary facilities in relation to appointment making, answering queries and telephone work.
  • To maintain adequate stock levels of stationery and forms and place orders as necessary, including ad hoc procurement requirements. Follow through with receipt and invoice verification
  • To print off and file departmental SOPS within the relevant area.
  • Arrange for the timely distribution of learning materials and professional communications to the department.
  • Provide general clerical duties including general typing, photocopying and scanning.
  • To work with the Office Manager and senior pharmacy staff with regards to the introduction and development of any new processes and procedures as required.
  • Responsible for the highlighting of all faults and breakdowns of departmental equipment and any matters requiring the attendance of estates to the Pharmacy Office Manager to allow for follow up to ensure work is carried out correctly.
