Administrative Assistant

Responsibilities:


  • Managing and maintain executive schedules, including appointments, meetings, and travel itineraries.
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain filling systems, both electronic and physical.
  • Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
  • Coordinate office events and meetings, including, catering, and logistics.
  • Perform general office duties, such as ordering supplies, organising office space, and managing office equipment.
  • Assist with specific projects and other tasks as assigned.
  • Uphold the aims and objectives of Borashabaa as a Charity.
  • Provide individualised support and case management services to refugees, assessing needs, developing action plans, and making appropriate referrals to accredited services.
  • Carry out such other duties as may be reasonably requested for the success of the Bora Shabaa projects.

Requirements:


  • GCSE in English and Maths with a high standard of written English
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Strong organisational and time management skills.
  • Excellent verbal and written and communication skills.
  • Ability to multitask and prioritise in a fastpaced environment.
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality and discretion.
  • Strong interpersonal skills and the ability to work effectively with diverse teams.
  • Experience with basic bookkeeping tasks is desirable.

Preferred Qualifications:


  • Previous experience in a similar administrative role.
  • Familiarity with office management software (e.g. Google Workspace, Microsoft Office 365)
  • A recognised qualification (e.g. AAT Level 2 or above)
  • Experience coordinating travel arrangements.
  • Additional language proficiency is a plus.
