We are looking for a Project Coordinator to join our London office and Historic Buildings Consultancy.


Overview
Donald Insall Associates is an award-winning architectural practice and built heritage consultancy.

The company has over sixty years' experience in the repair and renewal of historic buildings and comprises over 100 staff across nine UK offices.


The practice has a dedicated Historic Buildings Consultancy to support clients embarking on heritage projects at all scales, from single houses to urban masterplans.

The consultancy team work on some of the country's most interesting and significant historic sites and buildings.

The team comprises architects, designers, architectural historians and former conservation officers and Historic England inspectors who work alongside a client's chosen architect to analyse what is special about a building or place, guide alterations, and support clients through the planning process.

Our overarching aim is to use our understanding of the past to revitalise historic buildings and, where appropriate, to guide new interventions.


Job Purpose


We are looking for a Project Coordinator, to be based in our London office, to provide key administrative and InDesign support to the Historic Buildings Consultancy team across three offices in London, Oxford and Manchester.

You would work alongside our current Graphics and Support team, a DTP Coordinator and Project Coordinator, who also serve the three offices.


Duties and Responsibilities:


  • Liaising with client teams, as directed by the HBC team, in a professional and courteous manner and responding promptly and accurately to both client team and HBC team requests.
  • Collating and issuing monthly meeting agendas, minutes and reports.
  • Maintaining uptodate Outlook calendars for the team, managing meeting schedules, making appointments (plus associated travel arrangements if required), and updating allteam meeting invites.
  • Formatting HBC reports, tender documents and marketing material, using InDesign. This will include creating new reports and editing existing reports with both text and images.
  • Any other reasonable duties that arise from the nature and character of the post.

Knowledge, Skills and Experience Required

  • Proven experience in a similar Project Coordinator/Administrative role, supporting a team of people, held for at least three years.
  • Proven ability to work with initiative and selfsufficiency supporting senior individuals with different needs, expectations and working styles.
  • High level of IT literacy (MS Outlook/Word/Excel/PowerPoint and InDesign) and a good eye for high quality report design. Previous experience of creating, formatting and editing documents is required.
  • Ability to learn how to use bespoke software including DIAlog, InDesign (plus WordsFlow) and Illustrator.
  • Proven ability to prioritise and manage a busy workload to meet deadlines. Able to juggle multiple priorities and meet deadlines.
  • Proactive and able to work with mínimal supervision, to see what needs to be done and act accordingly.
  • Extremely strong attention to detail with meticulous approach to checking own work for accuracy. Can be depended on to get things right first time.
  • A team player with a willingness to learn from more experienced team members and an ability to work efficiently and consistently to established inhouse standards.
  • Flexibility to respond positively to changes in priorities, and willingness to support other teams and initiatives as required.
