Job Title Contract Support.
Based Peterborough office
Hours of Work 08:00-17:00 Mon to Fri 40 Hour week
Reporting to Facilities Manager.
Salary £25k-£28k depending on experience.
Key Responsibilities
- Help desk, call handling duties. Management of daily requests via the CAFM system.
- Communication with Facilities Manager, Project Managers and engineers regarding job allocation and labour planning.
- Liaise with Facilities Manager for allocation of works to subcontractors and engineers.
- Liaise with clients, updating works, assisting with client queries.
- Uploading quotations to client specific web portals.
- Scheduling routine PPM visits for direct labour and subcontractors.
- Raise purchase orders for engineers/subcontractors/suppliers via CAFM system.
- Collate details of planned and reactive works that need to be rescheduled and escalate to the Facilities Manager.
- Assist Facilities Manager with data for monthly reports.
- Attend contract meetings as required.
- Issuing relevant documentation (hardcopy and electronic) to clients.
- Assisting Facilities Manager and Project Managers with contract renewals.
- Update WIP reports as required for WIP meeting.
- Upkeep of shared drive/contract files with relevant information, paperwork and records.
- Assist Facilities Manager with administration, filing, copying, printing, scanning, collating, laminating etc.
- Accountable to the Facilities Manager.
- Working collaboratively as part of the contract team.
- A proven track record in delivering excellence in a facilities service environment.
- Ability to prioritise tasks.
- Calm manner, able to work under pressure in a busy office environment and against frequently changing demands and priorities.
- Good communication skills (both written and verbal) with ability to work under pressure whilst focused on excellent customer service.
- Adaptable and flexible.
- Use initiative to resolve unexpected situations and requirements.
- Selfmotivated.
- Professional telephone manner.

- Concentration and attention to detail is of the uppermost importance, with Customer Care being a high priority.
- Having the ability to think quickly, adapt and rearrange resources at short notice to changing client requirements.

Salary:
£25,000.00-£30,000.00 per year
