It is to be noted that this post's core focus will be on Community Mental Health Transformation and involvement in LIP specific tasks are to be undertaken under advisement except in cases of providing emergency cover for the employing organisation.

BACKGROUND

Leeds Involving People (LIP): We are a charity that represents the independent voice of people through the promotion of effective involvement. We involve the community in the development of health, social care and other public services by ensuring their opinions and concerns are at the centre of decision-making processes. We do this by promoting best practice in involvement and by ensuring we use methods that are appropriate, accessible, and responsive to the needs of individuals and communities. We also support individuals and organisations to become 'involvement ready' so they can work in partnership with public bodies to shape, improve and co-design services.


Community Mental Health Transformation:
A new community-based offer [that] will include access to psychological therapies, improved physical health care, employment support, personalised and trauma-informed care, medicines management and support for self-harm and coexisting substance useand proactive work to address racial disparities

PURPOSE OF POST

  • To support the work of the Community Mental Health Transformation Programme and contributing partners including Leeds People's Voices Group (PVG) a group that coordinates engagement work in Leeds, Local Care Partnership (LCP)
  • As part of the admin team to provide general administrative, reception, customer service and communications support to the organisation as they relate to the delivery of the transformation programme.
  • To manage and maintain a database of people who are involved in the programme
  • Be responsible for helping organise any engagement activities and events e.g room bookings/organising virtual meetings and breakout rooms, writing up notes from engagement activities and events, being responsible for sending out information, minutes/notes, reports, comms etc
  • To support the effective maintenance and improvement of administration processes, finance systems, and databases to ensure they effectively support monitoring and reporting mechanisms.
  • To support members of the public in completing relevant related coproduction and co

  • To provide information about Leeds Involving People and Transformation work, signposting to other services where necessary.

RESPONSIBILITIES

General Administration

  • To provide administrative support to the Community Mental Health Transformation team in managing diaries, the organisation of meetings and the maintenance of confidential documents and files.
  • To provide support to the Community Mental Health Transformation team in the prioritisation of workload and responding appropriately and filtering requests on their behalf.
  • As part of the LIP admin team to maintain telephone answering system, ensuring messages are checked and dealt with regularly and recorded greetings are kept up to date.
  • As part of the admin team to undertake general administrative duties such as opening and logging mail, franking and sending out post, typing letters and minutes, and photocopying documents.
  • As part of the LIP admin team to maintain the diary using Microsoft Outlook, ensuring that key dates are in team member's diaries, and meeting rooms are booked out accordingly.
  • As part of the LIP admin team to ensure the office environment is maintained and is considered a safe working environment, in accordance with the Health and Safety Policy.
  • As part of the LIP admin team to maintain office supplies stationary, meeting refreshments, etc in line with approved budgets and in consultation with the Finance and Projects Coordinator.

Customer Relations, Events and Activities

  • To undertake general reception duties, answering calls, and meeting and greeting visitors.
  • Provide direct support to People Voices group (Together We Can)
  • To promote the events, activities and services of LIP and act as a LIP ambassador.

Communications

  • To support the production of Community Mental Health Transformation newsletters, promotional materials and other digital media, assisting with their distribution in electronic and hard copy.
  • To encourage and promote the use of social and digital media in LIP's communications.
  • To ensure information is provided in accessible formats.
  • To support and guide colleagues and volunteers on the LIP branding guidelines.

Systems and Procedures

  • To support the maintenance of systems and databases by processing paperwork, adding and updating contact details, and extracting data reports and mail merges
