Legal Secretary role in supporting the Partner and Commercial Property department


You Kent Job Responsibilities

  • Providing full support to the Partner and department, dealing with client queries, preparation of correspondence and documents both selfgenerated and by transcription of digital dictation;
  • File administration, including opening/ closing/ archiving client files in a timely manner, photocopying, filing etc;
  • Assisting with all aspects of commercial sale and purchase transactions, including ordering and investigating searches, official copies and Companies House documents, dealing with exchange and completion;
  • Producing documents such as lease extensions, deeds, completion statements and Land Registry forms;
  • Handling Stamp Duty Land Tax requirements, including calculations, submissions and payments;
  • Liaising with clients and agents as necessary;
  • Maintaining and coordinating Partner's diary appointments and diary notes and reporting on these as necessary;
  • Regular consideration of client files and liaising with Partner on any action required;
  • Support the secretarial team, answering incoming calls, greeting visitors to Reception on occasion, collection/ delivery of daily incoming/outgoing post and DX, and any other general office administrative duties as required.

Legal Secretary Objectives

  • Compliance with the firm's accounts and administrative disciplines and procedures;
  • To agree on clear objectives linked to the Firm's business plan and participate in the performance management system, assessing performance and giving feedback as relevant;
  • To have a personal development plan and evaluate the effect of training on achievement;
  • To clearly identify the standards and systems required to improve our client service continually;
  • To comply with all the Firm's relevant policies and procedures;
  • To ensure confidentiality on all appropriate matters and recognise that any breach of this confidentiality will be treated very seriously.
