Small Works Administrator - Pacific Security Systems

Salary Range:
£21,000 - £25,000 Depending on Experience
Responsibilities:
- Plan, schedule, execute, and invoice small works orders, adhering to Pacific's business processes.
- Coordinate the procurement of necessary equipment and tools tailored to job specifications.
- Develop comprehensive and robust Risk Assessments and Method Statements (RAMS) for each project to meet site requirements.
- Foster positive relationships with both the engineering team and our valued client base through effective communication and collaboration.
- Manage scheduling of all small works, optimizing productivity by effectively managing engineer diaries.
- Facilitate subcontractor orders and review invoicing submissions for accuracy.
- Maintain meticulous paperwork management, including engineer job sheets, certifications, subcontractor reports, and equipment delivery notes.
- Oversee the procurement and management of parts or specialist equipment essential for project completion.
- Generate forecasts of anticipated invoicing for upcoming months, presenting these figures to the line manager.
- Provide exceptional customer service, ensuring client satisfaction throughout the project lifecycle.
- Undertake general administration duties as required to support operational efficiency.
Key Skills:
- Proficiency in utilising Service Management systems to streamline operations.
- Advanced proficiency in Microsoft Office Tools, particularly Excel.
- Excellent verbal and written communication skills, enabling effective interaction with internal staff, suppliers, and the engineering team.
- Strong organizational abilities, with the capacity to prioritize tasks to meet established deadlines.
- Familiarity with customer portals and willingness to undergo training on these systems.
- Eagerness to undergo training on legal and regulatory compliance specific to the fire industry.
