Main Purpose of the role:


Are you currently looking to work as a Legal Secretary/PA with additional duties? We are seeking an experienced Legal Secretary/PA to work in the Commercial Property department based in Bedford.


JOB DESCRIPTION:


  • Carrying out a secretarial role to support to The Partner and Fee Earners.
  • Copy typing using the BigHand digital dictation system
  • Typing lengthy documents using inhouse style and format/amend as appropriate using track changes, cross referencing and including a table of contents
  • Dealing with contracts, drafting, building contract amendments, warranties, leases, agreements, licences to assign, rent deposit deeds, bonds and guarantees
  • Dealing with TR1, AP1, SIM, DL and CON28B forms also CPSE1 and 3 enquiries
  • Comparing documents when required
  • Creating new clients and information in the database with full and accurate data
  • Maintain the inhouse database in line with the company's procedures and the Data Protection Act
  • Ensuring that all data is accurate and up to date at all times
  • Deal with Searches, Land Registry, SDLT returns and completing AP1s
  • Use the Land Registry Portal to obtain OCE, lodge OS1s and SIM searches etc.
  • Where necessary, ensure Deeds are stored appropriately
  • Assist with the initial drafting of documents such as TR1s, Notices etc.
  • Drafting completion statements and statement of accounts
  • Ensure that all typed work is accurate and proofread before being handed to the fee earner
  • Prompt administration of files such as opening and closing, billing, recording undertakings, archiving, etc., as directed by the fee earner
  • At all times comply with all relevant legislation and regulations as directed by the firm (e.g. client confidentiality, antimoney laundering, Solicitors' Regulation Authority and The Law Society rules, Solicitors' Accounts Rules, Data Protection Act, etc.)
  • In all dealings with clients and others, internally and externally, behave professionally, helpfully and courteously at all times and ensure the positive representation of the firm
  • Work as part of a team when work is requested by any other fee earner

PERSON SPECIFICATION:


  • Legal secretarial experience within Commercial Property or Residential Conveyancing would be desirable
  • Strong multitasking skills
  • Excellent working knowledge of Microsoft Office
  • Confident, clear and articulate communication skills both orally and in writing
  • Pleasant telephone manner, speaks clearly and fluently
  • Ability to work in a planned and organised way, but can multitask
  • Manages time effectively
  • Methodical, accurate and consistent even when under the workload and/or time pressures
  • Adapts and fits in well, able to work independently and within a team
  • Awareness of the need for confidentiality
  • Willingness to work well as part of a busy, friendly team
