Job description:


As an FM assistant, you will often be the face of the OfS for staff and visitors to our Bristol site, taking on a variety of duties to ensure that our offices, facilities, and equipment are operating safely and effectively.

From handling front-of-house services and setting up meeting rooms through to addressing potential health and safety issues, you will be part of a team who are passionate about their work.

While some maintenance activities will be planned, the team also work reactively, responding quickly to issues as they emerge.

This means every day will present you with a range of challenges, and you will have the scope to work closely with colleagues from all departments.

Front of house duties

  • Greeting and inducting visitors and staff to site
  • Receiving deliveries and liaising with a variety of FM contractors

Delivering FM services

  • Working as part of a team to deliver agreed service standards for the OfS across the site
  • Responding appropriately to site queries, requests, or complaints
  • Undertaking regular procedures and checks
  • Carrying out reactive tasks as required
  • Maintain consumable stocks across site (tea, coffee, stationery etc.)
  • Distribution and collection of mail
  • Setting up meeting spaces by arranging tables and chairs
  • Occasional printing requests
  • Assisting with furniture moves

Health, safety, and the environment

  • First aid and fire marshal duties (training will be provided)
  • Electrical inspection and testing (PAT training will be provided)
  • Maintain compliance with H&S policies across the campus, following agreed procedures and recordkeeping
  • Identification and reporting of potential H&S risks/issues

Stakeholder engagement

  • Effective engagement with internal and external stakeholders, always acting professionally

Team working

  • Working effectively with other team members to achieve departmental tasks.

Person specification:

What is required to succeed in the role?

To make the most of this opportunity you will need:

  • the ability to problem solve and identify when something needs to be done and react accordingly
- to be able to listen, take directions and provide feedback
- to be a team player who is friendly, personable, and keen to respond to work requests
- good organisational and IT skills
- ability to prioritise your own tasks
- a good basic level of numeracy and literacy
- ability to safely assess and move loads (training will be given)

The following are also desirable (but not essential):

  • Facilities Management related qualification
  • Experience with FreshService or similar customer service ticket management software
  • Previous health and safety training


Please note that this role is fixed at 37 hours with a work pattern of Monday-Thursday and Friday The role does not have any remote working and is 100% office based.
