Scope and range To provide secretarial / admin and typing support for team members (including Anaesthetists, and nursing team To process information appropriately resulting from outpatient and inpatient episodes within agreed time limits To act as a central point of contact for patients/GPs/internal and external staff regarding confidential and sensitive patient informatio Use of hospital systems Cosmic/PATHWEB/Infoflex/RAD/Tracking (case note Management) EROS Duties and responsibilities Provide support to the pre-assessment unit manager and/or deputy to manage the pre-assessment service Co-ordinate High risk anaesthetic clinic and outpatient Nurse clinic.

Be responsible for monitoring clinical appointments for this patient group, for both outpatient and inpatient appointments / referral. Maintain and triage the telephone helpline, deal with queries as appropriate, escalating to team when required. Be the main point of contact within the Pre assessment Department for patients, relatives and other healthcare professionals.


Manage stock ordering by placing orders via the procurement stock system: including but not limited to stationary, leaflets, sharp bins, Unpacking stock deliveries.

Supporting the Pre assessment nurse with patient monitoring packs. Calling patients to support with quality of life questionnaires, patient information. Supporting with patients forms, consent forms.

Completing a monthly return to the Finance Dept to support Surgery and critical care division. Support with a patients pathway in clinic appointments with discussion. To support with audits and training as and when required. Typing of clinical documentation and reports, ensuring prompt dispatch within the Trusts agreed target.

Ensuring that the follow-through on all patients is complete e.g.

further appointments and referrals, diagnostic reviews, ensuring that waiting list cards have been copied and distributed promptly and all patient enquiries have been followed.

Receiving patient queries by phone and resolving their concerns in a tactful and diplomatic manner, using own initiative and judgement to ensure that the patient is fully updated and allay their fears and anxieties as far as possible.

Request notes from medical records as and when required.
