Job description
To provide an effective and efficient high standard of administrative, practical and financial support to the Managers and teams in Children's Social Care & Youth Justice Division.
The range and balance of duties and responsibilities set out below may differ to reflect the specific needs of a particular service or team.
Team Support Workers to work collaboratively and, where necessary, to cover for one another, particularly during any periods of absences.
RESPONSIBILITIES
To provide an effective, efficient service for administrative and operational tasks to support the services for all administration, reporting, finance and other duties to enable Managers and Social Workers to fulfil their duties and responsibilities to our children and young people.
To work flexibly across the Division and inclusive of satellite buildings to provide support and to cover other Team Support Workers and to carry out any other reasonable duties as required by the needs of the services to include, on rare occasions to work 'outside of core business hours' where critical or essential to do so and with Management's consideration of any individuals personal circumstances.
The purpose is to have the flexibility if needed to provide some low level occasional practical support for the teams Merton Council are working towards new ways of working in consideration of the changes to the way we work as a result of the Covid-19 pandemic.
To work independently and as a team member, to develop specialist administrative and practical support skills providing a high level of accuracy for administrative responsibilities.
To support in the development and implementation of business processes and business improvement processes in line with the service plans and operating models for Children's Social Care and Youth Justice.
Lead on the coordination and organisation of team meetings and conferences, including providing agendas, taking minutes and be responsible for the preparation of documents for internal and external meetings.
To prepare and distribute agendas, presentations and papers and take minutes where appropriate for larger meetings involving a number of Managers and/or external customers and where required to minute meetings outside of usual core business hours.
Offer training, advice and guidance on new and current administrative procedures and systems to professional staff and other team members.
To be a part of the ongoing systems change network. Maintain a stock control of all office stationery and re-order stocks using an on-line system.Ensuring that all orders are authorised by the relevant Manager.
To be the administrative lead for a team, providing a proactive, effective administrative/finance support to Managers, Social Workers and Practitioners, covering, as required, for other Team Support Workers.
Responsible to manage all administrative tasks for travel, petty cash, prepayment cards and other such admin duties as may be requested.
Manage, deal effectively and monitor response to more challenging/complex telephone enquiries, responding to queries or referring on to appropriate team member or Manager to deal with, where necessary Manage the production and distribution of departmental directories, documents and newsletters, as determined by Managers.
To administer various IT systems; prepare and maintain a variety of service related documents, standard correspondence and reports to an agreed format.
Managers, Social Workers and Practitioners, to undertake checks on carers who have applied to other local authorities and independent agencies to become foster carers and respond in accordance with the Data Protection Act.
This will include:
checking electronic records for Social Workers/Practitioners and enquiries from external agencies, maintaining a duty diary for appointments regarding unallocated and allocated cases in the absence of the allocated worker.
Carry out the financial and administrative work in connection with unaccompanied asylum seeking children.
Tasks include funding and financial records, government department liaison, compilation and submission of statutory reports and checking port of entry forms and maintaining detailed records.
