We are currently recruiting for a temporary Executive Assistant for a centrally based Oxford University Department, starting asap on a full-time basis for 12 weeks.


Duties:

- provide support, guidance and supervision to more junior or inexperienced staff in the team. This will include tasks such as delivering training, providing advice on complex cases, supervising temporary staff and assisting in checking non-routine correspondence.
- develop a detailed knowledge of University and departmental policies and procedures relevant to their area of work, to enable them to advise both academic and administrative colleagues accordingly.
- actively contribute to the development and enhancement or processes and systems.

This may include tasks such as:
reviewing processes and providing ideas for improvements; acting as a team or departmental representative (or acting as Secretary) on departmental or University working groups or committees; taking on project work; coordinating and planning cross-team activities; and helping to develop instruction manuals/process notes;
- acting as a first point of contact for students and tutors. This will include providing advice on routine and non-routine departmental and University policies and procedures.


The Temporary Staffing Service supports University of Oxford departments and affiliated colleges with the recruitment of temporary admin and clerical staff.

Essential

  • Educated to degree level or equivalent;
  • The ability to draft correspondence and to produce wellpresented reports;
  • Good judgement and the ability to deal appropriately with confidential information, including handling sensitive situations, with tact;
  • Excellent organisational skills and meticulous attention to detail;
  • A flexible approach to workload and hours of work, with a cooperative and collaborative attitude;
  • Excellent communication skills and the ability to deal tactfully and effectively with a wide variety of members of the College, the Cathedral and Chapter, and University academic and nonacademic staff, as well as members of the public;
