Your initial and main responsibility will be:

  • Submit business and manage the handover between the advising and back office team.
  • To ensure all business is submitted in line with compliance, in a timely manner
  • Effectively manage workflow designating task efficiently and chasing work to ensureproficiency.
  • Manage back office capacity using external parties where necessary to ensure a high level of client service is provided and cases are completed as quickly as possible. Manage the operational needs by effectively supporting the advising and back office team. As well as client management, communication and servicing, and facilitating the processing of all business through SJP systems, the role will include a review of current processes and where appropriate introducing change within the business. Providing outstanding client service will be of upmost importance and, as a lead role in the practice, they will inspire and influence others to do the same.
  • Main Duties & Responsibilities_
  • Lead day to day office activity with overall responsibility for business processing and its part to play in the client servicing proposition and its delivery including relevant systems and processes.
  • Ensure both Principal Partner and Advisers are working effectively and efficiently as possible via dairy management, business planning, up to date training, use of technology/systems etc.
  • Develop and manage effective systems, processes and procedures which enable Partner/Advisor(s) to optimise client meetings.
  • Ensure Practice Support Specialists perform their key functions consistently and efficiently through effective people management skill and processes.
  • Responsible for managing team workflow by delegating responsibilities to ensure work is carried out in a timely fashion and priorities are met.
  • Hold regular team meetings to ensure the progression of cases and ensure team are meeting business goals;
  • Provide technical support and training to new/junior staff joining the practice.
  • Ensure the practice is up to date and in compliance with all licensing, CPD, regulatory and legislative requirements.
  • Manage communications within the practice, and those to clients and third parties.
  • Provide regular reporting on the business's performance to Principle Partner.
  • Office Organisation ordering stationary, supplies and keeping resources up to date.
  • Business Processing_
  • Ensure the endtoend business process is managed and tracked efficiently in line with practice and regulatory standards.
  • Ensure all relevant information required for writing the client report is available.
  • Ensure client information across all systems is accurate and uptodate.
  • Develop targeted improvement for QoD and manage PQS scores.
  • Manage external 'suppliers' relationships and workflow.
  • Effectively manage the Pipeline and assist with Trouble shooting
  • SJP admin.
  • Practice development_
  • Oversee/manage and/or contribute to all projects within the practice.
  • Support the team to develop client relationships and referrals, service existing clients and assist in building new relationships (incorporating client entertainment events) to create a firstclass client servicing strategy.
  • Update the team and advisers on any changes to admin processes or legislation and managing the change process.
  • Support Principal Partner's with the implementation of annual business plans.
  • People Management_
  • Responsible for Adviser payments & Expenses, and Recruitment activities.
  • Responsible for team development to deliver Training & Development Plans including building their knowledge base.
  • To ensure individual and team performance on a consistent and effective basis via regular performance management, annual appraisals and objective setting.
  • Any other duties as may reasonably be required for both the business and Partner/Adviser, consistent with the vacancy.

Salary:
£27,000.00-£37,000.00 per year
