Job Summary

The Tenant Relations Department are responsible for dealing with all Guardian (Tenant) issues once they have moved into a property and until they have left the property.

They work closely with all departments to ensure that Guardians uphold their legal obligations, keep to health and safety standards, and maintain good relations with their fellow housemates and neighbours,
The role involves proactive actions encouraging good behaviour and standards of living within Guardian community.

In addition, the role holder will be the first to react to problems when they occur resolving them swiftly and positively.

On occasions issuesmay lead to legal action, therefore, an individual with legal experience in the property sector would be very desirable.


Role Profile:
*Ensure Guardian compliance with the Licence Agreement.
*Follow-up with Guardians regarding non-payment of Licence Fee within 2 days of non-payment with a call or visit.
*Issue warning letters to non-payers.
*Raise and serve notice to Guardians for breach of licence agreement and non-payments.
*Assist with legal issues, taking the lead on these as required.
*Reply to all Guardian raised issues in a recognised, acceptable time frame (24 hours) and ensure all issues are seen through to completion within the code of conduct timeframes.
*Check and action other tasks raised on AOL which relate to the remit of the Guardian Relations team.
*Ensure that Problem Solving Work sheets (PSW) are completed and accurate and timely records made for all issues and queries raised by Guardians and neighbours.
*Appoint and liaise with Head Guardians on a fortnightly basis.
*Visit Guardians and/or Properties within 24 hours of any major incident.
*Ensure that inspection reports raised via AOL are actioned.
*Manage Property Visits.
*Update Guardian Termination Report - Room Checks ensuring rooms are cleared and able to be resold within 5 working days of a Guardian leaving.
*Manage the vacation of a property once Guardians have been served notice because a property owner is taking their property back. Ensuring all living in the property will have vacated by the notice termination date and that the property will be clean and clearready for hand back.
*Produce and deliver weekly reports ensuring that they are accurate and delivered on time.
*Lead on all major communication to Guardians e.g. COVID and price increases.
*Resolve disputes between Guardians and Guardians and neighbours.

We are looking for someone who has Gravitas who will be able to work with the Tenants, hold their own and be able to get issues resolved by delegating to the right person You may be out once a week around London, but the role will mainly be based in the officein Finchley Central.
