ZMedia is a recruitment consultancy and is looking for an Executive Assistant to the Directors to join a specialist online bioscience publisher based in London.

They focus on the cutting edge of biomedical R&D, including cell and gene therapy, immuno-oncology and vaccines, and are passionate about delivering high value content in innovative digital formats.

The role

The role will include:


Staffing and HR - supporting the Managing Director in ensuring all new starters within the business are provided with suitable equipment, health and safety training, HMRC documentation and updating the Bright HR platform with their details.


Office support - Booking meeting rooms and company strategy days, organizing refreshments for the day, researching new office space as required.


Finance - Supporting CEO in preparing end of year bank statements for accounting purposes (and quarterly VAT returns), receipt filing and processing expense claims from staff.


Sales - Supporting the VP of Business Development in creating and maintaining client account records in our database (CRM), liaising with clients to obtain required documentation for invoice processing, filling in supplier forms.

Data - _ad hoc_ projects to support the sales process including researching data within defined requirements.


Operations - Sharepoint file archiving, creating best practices for file set up, data entry into our project management tool Monday to support the Editorial team.


They are looking for someone who:

  • Has 3-4 years working in a fast-paced business environment.
  • Can show evidence of exceptional attention to detail.
  • Can demonstrate excellent time management and multitasking skills
  • Proficient in learning how to use new platforms such as project management tools and CRM/Accounting platforms.
