Due to increasing business and a larger team, we wish to recruit another full time PA to assist fee earners for the Real Estate Development team based in the Southampton office.


The key initial responsibilities will include filing, scanning, typing/drafting correspondence, answering telephone calls and the full range of legal secretarial and support services to your team.

In time, the PA will assist the Teams Partners and other fee earners with file openings and client relations along with supporting with the smooth running of the team.

Training will be provided so you are able to perform the role.

Further information on the role is as follows:

  • To be aware of the fee earners' priorities which should be dealt with during the day and ensure that they are completed as far as possible.
  • Maintain the fee earners' files; keeping filing uptodate at all times in accordance with the firm's file management policies.
  • Being able to anticipate what the fee earner requires.
  • Monitor and deal with the fee earners' post and deliver to the fee earners via the team leader.
  • Adhere to quarterly file reviews a Lexcel requirement.
  • To undertake and monitor Lexcel compliance as directed by the relevant Partner/Fee Earner.
  • Update legal books with the new legislation.
  • Have good communication skills within the rest of the support staff team, work well together.
  • Carry out searches on Land Registry Portal and TM Property Searches.
  • Collectively with the other members of the team, provide the full range of secretarial and support services to the team.
  • Ensure the work prepared by the fee earners is typed accurately. Upon return, check the work, preparing any necessary enclosures, and processing the work in accordance with the fee earners instructions.
  • Take telephone calls for the fee earners, dealing constructively with the client, progressing queries where possible, ensuring that full messages are recorded and passed to the fee earner concerned, or referring calls elsewhere when necessary, in accordance with the firm's referral policy.
  • To build relationships with clients and other members of staff to aid communication.
  • Open files and attend to the completion of client and matter opening forms.
  • Open files for fee earners to work on.
  • General maintenance of printers, i.e. fault reporting, dealing with maintenance.
  • Keep reception fully informed of all expected visitors, including details of names, time of arrival and expected duration of visit. Book meeting rooms as required and arrange refreshments as appropriate.
  • Ensure through liaison with the feeearner, the team leader and the credit controller that the necessary billing guides are presented at the appointed time and that the bills are typed correctly and submitted to the accounts department.
  • Monitor all deeds and original documents that are received and retained by the fee earners and, through liaison with the matter fee earner any by checking the file, identifying those that can/should be sent to other parties (client, mortgagee etc) or for central storage. Ensure that those deeds and original documents are dealt with as appropriate and that action taken is recorded on the file, and where appropriate, on deeds storage records.
  • Provide support to the fee earners in their marketing activities and where required client meetings.
  • Book travel arrangements and accommodation for the fee earners as required.
  • Support, promote and build relationships with colleagues.
  • Act as a role model and mentor to junior members of the firm.
