Location - Wilmslow
Salary - £27,000-30,000
Type - Permanent
Hours - 35p/wk

Day-to-day of the role

Conference and Course Events Management

  • Overall responsibility for the smooth operations of all teacher course, conferences and events, both facetoface and Online, National Conferences, student conferencesSK9 1NT
  • Liaising with the venues, ensuring the Joining Instructions are sent out on time to the delegates and to the course leaders, equipment and accommodation booked, course notes in on time, printed to schedule and delivered on time to the venue
  • Lead the Events Administrator in the delegation of event organisation and administration tasks, procedures and systems
  • As company central documents, maintain and ensure the teacher course spreadsheet and student conference spreadsheet are fully up to date and accurate at all times
  • Report in to the director on a weekly basis on planning for the next 4 weeks, establishing which events to go ahead, which to be postponed, including any issues, situations arising, new points, suggested points
  • Lead the Course Manager Team in the operations, in allocation of the initial terms' rotas, ensuring fair and equal distribution
  • Assess and evaluate Course Manager Reports, acting decisively and swiftly to make any changes and deal with any situations arising
Online Teacher Events

  • Lead the Events Administrator in the operations of the Online courses
  • Zoom Online meetings and events with the course leaders
  • Send out the Joining details, including the Zoom links to the course leaders and to the delegates
  • Send out the course notes and materials to the course leaders
  • Ensure all is well at the start of the Online sessions by checking with the course leader
  • Check and sign the Delegate Register to ensure all delegates are present and correct.
Student Conference

  • Organisation of all student conferences, from securing the venue through to evaluations
  • Ownership of the spreadsheet and the management of it
  • Create the Spreadsheet, provisionally booking appropriate venues
  • Inputting relevant information on the spreadsheet including costs, breakeven point
  • Liaising with the course manager team
  • Booking accommodation for the speakers who have asked for it and booking relevant equipment, catering etc... for the day
  • Making sure that the heating, green rooms, catering, course notes arrival, any performances, technician, additional equipment etc. has all been agreed and sorted with the venue prior to the day
General Administration and Events Organisation

  • Liaise with the Finance Manager on any issues regarding the venues
  • Second point of contact for all incoming phone calls. Deal with the queries, or forward to the appropriate person
Liaise with the Events Administrator in dealing with any queries coming in from the Online Box
