Medical Receptionist/ Administrator
Hours 37.5 hours per week(or 2x part-time posts)


As part of our exciting service redevelopment, Largs Medical Group is seeking to recruit enthusiastic, highly motivated and organised medical receptionist/administrator(s) to join our thriving practice.

With 11 GP partners, we are one of the largest training practices within Ayrshire and Arran and therefore you would be joining a driven and dynamic team.


This is a fast paced post and duties include dealing carefully and sensitively with patients at Reception and on the phone, making appointments, result handling, dealing with general enquiries, processing repeat prescription requests, scanning clinical correspondence, dealing with delegated tasks from clinical staff and general administration.

Working as part of a team, you must be able to co-ordinate a variety of office functions simultaneously. Previous experience in a medical environment is desirable.


The hours of this post are negotiable with a maximum of 34 hours available which could be one post or two part time posts.

Contracted hours are worked on a rotational basis with flexibility to work more hours when required. As an extended Hours Practice we operate from 8am

  • 6pm.

JOB DESCRIPTION

JOB PURPOSE
To provide a professional medical receptionist and administrate service to patients, doctors, staff, health service professionals, agencies and others.

To be the first point of contact for patients accessing the surgery and to provide an effective and polite telephone enquiry service.

To effectively manage a range of administrative tasks to support the day to day functioning of the practice.


KEY DUTIES & RESPONSIBILITIES

  • First point of contact for patients
  • Dealing with the public, answering general enquiries and explaining surgery procedures
  • Answer incoming telephone calls and ensure calls are documented and/or redirected appropriately
  • Booking, amending and cancelling patient appointments
  • Report results to patients under GP instructions
  • Respond and/or redirect all patient and visitor requests accordingly
  • Maintaining patient records
  • Logging incoming and outgoing medical records (electronic and paper note)
  • Processing and distribution of prescription requests
  • Process incoming mail using the Docman system
  • Clinical workflow of letters using Docman system
  • Ordering and restocking supplies
  • Opening and closing of premises
  • Maintain petty cash for cash transactions and process payments for treatment
  • Respond to the day to day issues that may arise within the clinic and resolve problems wherever possible
  • Undertake tasks allocated by the Management team
  • Report any operational problems
  • Clinical coding (training is provided)
  • Log any incidents / accidents that may occur
  • Insurance Reports and Subject Access Requests
  • Provide absence cover within your team
  • Maintaining the Waiting Area
  • Any other administrative requests
  • Work at all times in accordance with legislative requirements and practice policy and procedures

PERSON SPECIFICATION

Qualifications

  • SCQF Level 4 (National 4/standard Grade) Maths and English

Experience

  • Reception/ Administrative/ Customer Service Experience
  • Telephone Reception duties
  • Experience with computer database input and related equipment
  • Good keyboard skills
  • Experience of working in a Medical/ NHS environment (Desirable)

Skills/Knowledge

  • Knowledge and understanding of Receptionist/ Administrate tasks
  • Competent in the use of computers and IT packages
  • Effective written and verbal communication skills
  • Good interpersonal skills
