Job purpose


The post holder is responsible for managing the entire interaction between Oxford International and agents before a student/group arrives for their course at Oxford International Greenwich, Oxford International Brighton or Oxford International Oxford.

A key priority is to ensure that established guidelines are adhered to regarding the speed, accuracy and quality of responding to agents on enquiries, booking confirmations, invoicing, payment, host family details and pre-departure information.

It is the nature of the business that flexibility is required and that the role may entail some weekend and evening work.

Where this is the case, time will be given off in lieu.


Main duties and responsibilities

  • Dealing with agent enquiries promptly usually by the end of the day on which they were received
  • Sending quotes, booking confirmations and invoices to clients and where appropriate issuing visa letters
  • Ensuring agents have full details for all airport transfers that have been arranged
  • Ensuring agents have emergency contact numbers for the Oxford International schools
  • Ensuring all fees have been paid prior to the student's/group's start date
  • It is also the Admissions Administrator's responsibility to make sure the schools have full and accurate information on all students' requirements before they start their course

Statutory requirements

  • Eligibility to live and work in the UK
  • Meet statutory and organisational childsafeguarding requirements

Qualifications

  • GCSE Maths and English
  • Undergraduate degree

Experience and Knowledge

  • Experience of working in a busy administrative role
  • Experience of working with overseas clients
  • Knowledge of the language education industry
  • Knowledge and/or experience of working at junior residential summer schools
  • Experience of student enrolments
  • Knowledge of at least 1 other major European language, preferably Spanish/Italian/French
