Responsibilities of the Executive Assistant


The role will provide secretarial and administrative support to the Board and Senior Vice Presidents based across our UK offices.

The role will oversee diary management including the scheduling, organising and arranging of meetings or other business commitments. Other elements of the role include arranging travel (international/domestic) and liaising with external business contacts.


Duties for the Executive Assistant position

  • Diary management including the scheduling, organising and arranging of meetings and other business commitments, including any followup actions
  • Liaise extensively with internal team and external business contacts
  • Arrange international and domestic travel and hotel bookings
  • Assisting with preparation and reviewing of PowerPoint presentations
  • Updating client information on HubSpot (CRM system)
  • Provide additional support to CEO's EA and holiday cover
  • Providing receptionist cover as and when required including answering telephones, greeting clients and visitors, catering for meetings and managing room bookings
  • Ensuring all expenses are claimed on a monthly basis
  • Assisting other areas of the business as and when needed

Criteria for the Executive Assistant position

  • Some experience in a similar role
  • Accurate and quality conscious, with attention to detail
  • Strong organisational skills
  • Proactive and able to juggle several tasks
  • Ability to handle confidential matters with utmost discretion
  • Fast paced, efficient and flexible
  • Selfmotivated with a positive "can do" attitude to all tasks
  • Open communicator
  • Ability to work on own initiative
  • Fluent spoken and written English
  • Advanced IT skills including Microsoft office packages i.e. Outlook, Word, Excel, PowerPoint
